Summary

Provide high-level administrative support serving as a trusted partner to the CEO. This role requires exceptional organizational, communication, and problem-solving skills to manage complex schedules, prepare and review correspondence, coordinate meetings, and ensure the CEO is well-prepared for all engagements. The Executive Assistant will handle confidential information with discretion, foster positive relationships across all levels of the organization, and proactively anticipate the needs of the CEO in a fast-paced environment. Success in this position requires professionalism, adaptability, independent judgment, and the ability to balance multiple priorities while maintaining accuracy and attention to detail. 


Duties and Responsibilities

  • Provides high-level administrative support to CEO including preparing correspondence, reports, invoices, maintaining records, supplies, mail, and special projects. 
  • Prepares and maintains monthly schedules of aggregate loan activity and updates individual loan account activity. 
  • Communicates and serves as a point of contact with insurance agents, title companies, banks, and other stakeholders; Responds to or refers inquiries as appropriate. 
  • Creates and maintains property maps and listings, and ensures accurate documentation of land, assets, and rental status. 
  • Establishes proper company record retention guidelines and assure proper record filings. 
  • Approves and tracks various AP invoices for renovations and new locations to send to AP for payment. 
  • Receives incoming communication, or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff. 
  • Makes arrangements for meetings as it relates to meeting space, invitations, lunches, dinners, etc. Prepares and maintains meeting agendas and files. 
  • Maintains calendar, appointments, makes travel reservations and processes travel expenses. 
  • Provides high level service in person & over the phone, assists with customer and company needs, maintains a positive attitude, provides accurate information & displays professionalism. 
  • Works well in a team environment, and in cooperation with the other team members in the office to complete tasks. 
  • Exercises discretion and maintains utmost confidentiality regarding company operations and employee matters.

Qualifications

  • Position requires strong communication, interpersonal, organizational, and analytical skills, along with proficiency in Microsoft Office and time management. Candidates must be detail-oriented, accurate, adaptable, and capable of working independently or in a team. Key abilities include initiating and completing tasks, exercising sound judgment, fostering positive workplace interactions, and maintaining compliance with HIPAA and 42 CFR regulations.

Supervision Given

The Executive Assistant does not supervise.


Supervised Received

The Executive Assistant is supervised by the Chief Executive Officer.


Education

A High school diploma required, associate or bachelor’s degree in business administration or related field preferred.

Experience

Two years of related experience


Background

Must pass all Federal and State background checks. Other background checks will be conducted for licensures and certifications according to company policy. 


Schedule

Full-Time, Adjustable times agreed upon during hire.

The pay range for this role is:

58,240 - 62,400 USD per year (Keene, NH - West)
