Summary

The Medical Records Specialist is responsible for reviewing, verifying, and processing all medical records and Release of Information (ROI) requests in compliance with company policy, HIPAA (including HIPAA 42 CFR), HITECH, and other state and federal regulations. This position ensures accurate and timely processing of records, manages correspondence and chart review audits, and serves as a key resource on health information privacy compliance across the organization.


Duties and Responsibilities

  • Review, verify, and process all ROI requests in compliance with applicable laws and policies
  • Ensure invoices are completed accurately and processed per payment guidelines
  • Review authorization forms to confirm that only approved records are released
  • Request records from external facilities and follow up as needed
  • Scan, index, organize, and maintain electronic medical records (EHR)
  • Submit records via appropriate electronic media and track deliveries
  • Review and process all incoming mail and faxes daily
  • Scan, categorize, and file documents into correct EHR document types
  • Route documents to the appropriate provider PAQ or print for provider signatures
  • Print physical therapy and home health orders, and other documents requiring signature
  • Assist with chart abstraction as needed
  • Maintain in-depth knowledge of HIPAA and relevant privacy regulations
  • Act as a resource for compliance-related questions across departments
  • Support internal audits and compliance improvement initiatives
  • Collaborate with teams during EHR upgrades to ensure compliance is maintained
  • Schedule appointments for external chart review audits
  • Coordinate with IT to provide temporary EHR access as needed
  • Monitor and track chart audits to ensure proper records access and documentation
  • Supervise on-site visitors accessing medical records
  • Open, scan, and sort all incoming administrative mail daily
  • Accurately process and document patient returned mail per workflow protocol
  • Complete assignments as delegated, prioritizing workload appropriately
  • Seek clarification when needed and maintain adherence to protocols
  • Provide assistance to other departments as assigned

Qualifications: 

  •  The Medical Records Specialist must have excellent interpersonal skills (verbal and written), organizational skills, proficiency in MS Office and ability to utilize online EHR and HRIS platforms.   
  • This position must also understand and follow HIPAA, HIPAA 42CFR compliance

Education

  • A High school diploma with experience noted below is required.

Certification

  • None Required 

Experience

  • 1-3 years in healthcare setting. 

Background

  • Must pass all Federal and State background checks. Other background checks will be conducted for licensures and certifications according to company policy.
