Senior Payroll Specialist

The Accelint Senior Payroll Specialist is responsible for the accurate, timely, and compliant processing of multi-entity, multi-frequency payrolls across a complex organization with 5+ divisions and 5+ payroll schedules. This role serves as a subject matter expert in payroll operations, compliance, and process improvement, and partners closely with HR, Finance, and external vendors to ensure payroll accuracy and regulatory adherence.

Duties & Responsibilities 

  • Leads end-to-end payroll for multiple divisions and pay groups, including biweekly and semi-monthly schedules. Manage payroll for exempt and non-exempt employees across multiple states and jurisdictions.
  • Ensure accurate calculation and processing of wages, overtime, bonuses, commissions, retro pay, and special payroll runs.
  • Conducts routine audits to resolve payroll discrepancies, adjustments, and off-cycle payments promptly.
  • Ensure compliance with federal, state, and local wage and hour laws, tax regulations, and reporting requirements.
  • Ensure accurate integration and data flow between the HRIS/Payroll vendor (Rippling), timekeeping vendors and benefit vendors/carriers.
  • Maintain up-to-date knowledge of payroll-related legislation and regulatory changes impacting multiple states and divisions.
  • Oversee payroll tax filings, W-2s, 1099s (as applicable), garnishments, and other statutory deductions.
  • Partner with payroll vendors and tax agencies to resolve notices, audits, and inquiries.
  • Serve as a payroll subject matter expert for HR, Finance, and leadership and respond to employee payroll inquiries professionally and confidentially.
  • Other duties as assigned.

Required Qualifications 

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field (or equivalent experience).
  • 5+ years of payroll experience, including multi-division and multi-pay schedule environments. Experience supporting payroll for 1,000+ employees.
  • Strong knowledge of multi-state payroll compliance and wage and hour regulations.
  • Experience with the Rippling payroll system and advanced proficiency in Excel and payroll reporting.
  • Exceptional attention to detail and accuracy.
  • Ability to manage multiple deadlines in a fast-paced environment.

Preferred Qualifications

  • Certified Payroll Professional (CPP) designation.
  • Experience with payroll integrations, implementations, or system conversions.
  • Prior experience in a shared services or complex organizational structure.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times. 

Clearance Requirements 

Some positions will require access to U.S. National Security information.  Positions that require this access will be required to receive and maintain a U.S. government personnel security clearance (PCL).  In order to qualify for this position, the candidate must be a US Citizen and either currently possess this National Security eligibility or be able to complete the investigation application process with a favorable determination and maintain that eligibility throughout their employment.
