Office Operations Internship

Job Description


The Office Operations Internship will ensure onsite human resource (HR) and building operations run smoothly including, but not limited to, office maintenance needs, recruiting and onsite interview support, company event planning, customer meeting support, building ID badging, catering planning, etc. This role will also provide administrative support and data management services to the HR department. Duties and Responsibilities


Human Resource Operations

  • Provides clerical support to the HR department.
  • Conducts assigned onboarding and offboarding tasks. Assists with new hire orientation meetings and other onboarding functions.
  • Conducts two-week, thirty-day, ninety day, and 1 year HR check in meetings with new hires.
  • Maintains accurate and up-to-date human resource files, records, and documentation and maintains the integrity and confidentiality of such files and records.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations, including catering arrangements.
  • Supports policy, procedure and form management for the company.
  • Reconciles monthly benefit invoices/statements for the HR department.
  • Tracks required employee training completion and record keeping.
  • Runs monthly reports from HRIS and distributes to stakeholders.
  • Performs other duties as assigned.

Building Operations

  • Greets guests and visitors, and conducts required security checks, sign in, etc.
  • Serves as a point of contact for onsite office needs during business hours and supports administrative/reception requests as required.
  • Reports need for building maintenance repair, maintains office and kitchen inventory levels. Monitors performance issues of printers; alerts IT for repairs.
  • Collects and distributes all incoming/outgoing mail, packages, and deliveries. Including trips to FedEx drop off locations.
  • Supports onsite or offsite project event/demonstration planning as needed.
  • Other duties as assigned.

Required Skills and Experience

  • A bachelor’s degree or in active pursuit of a degree, preferably in human resources, business administration, business management, or a related discipline.
  • Must be proficient in Microsoft Office 365, specifically with Excel and PowerPoint.
  • Ability to analyze and solve challenging problems creatively.
  • Strong interpersonal and communications skills.
  • Ability to complete projects according to outlined scope, budget, and timeline.
  • Demonstrated ability to work in a fast-paced environment.
  • Ability to obtain and maintain a Department of Defense (DOD) Security Clearance.

Preferred Skills (Not Required)

  • Bachelor’s degree or an advanced degree in human resources, business administration, business management, or equivalent experience.
  • Previous experience in customer services related positions.
  • Pervious office administration or human resource experience.
  • An active Department of Defense (DOD) Security Clearance. 

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • Ability to travel for work.
