API is seeking an Allocations Specialist to work onsite at one of our airline client locations. In this role, you will support the development and management of crew hotel and ground transportation schedules while ensuring compliance with airline requirements, maximizing operational efficiencies, and maintaining excellent client relationships. The successful candidate will utilize data, planning tools, and analysis to support airline crew accommodation planning and allocation activities.

Essential Duties and Responsibilities

  • Import airline planning files into API's ACES system.
  • Develop monthly hotel and ground transportation schedules for airline crew members.
  • Ensure compliance with airline requirements and contractual obligations.
  • Optimize hotel utilization to maximize cost efficiencies.
  • Adhere to airline business rules during hotel assignment planning.
  • Release hotel and transportation schedules through API systems.
  • Confirm schedule receipt and implementation with suppliers.
  • Maintain accurate hotel contract information within ACES.
  • Audit planning data and system information to ensure accuracy.
  • Partner with Operations and Account Management teams to support airline rooming requirements.
  • Communicate directly with airline representatives regarding planning schedules and updates.
  • Build and maintain strong relationships with internal teams, suppliers, and airline stakeholders.
  • Provide regular status updates regarding assigned projects and planning activities.
  • Support client needs and operational requirements as needed.

Qualifications

  • High school diploma or equivalent.
  • Strong proficiency in Microsoft Excel and Microsoft Office applications.
  • Exceptional attention to detail and organizational skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Excellent customer service and relationship management capabilities.
  • Minimum of one year of operations, scheduling, planning, or airline crew scheduling experience.
  • Airline, travel, hospitality, or hotel industry experience.
  • Multilingual skills a plus
  • Experience working with diverse stakeholders and global partners.

Schedule & Availability

This is a full-time position typically working Monday through Friday from 8:00 AM to 4:00 PM. A rotating schedule, including periodic weekend coverage, may be required to support operational needs.

Due to the nature of the role, the period from the 1st through the 15th of each month is considered a critical planning and allocation cycle. Employees are expected to maintain reliable attendance during these periods and may be required to work additional hours or adjusted schedules based on business demands.

Compensation

The good faith hourly rate for this position is $23.00 to $25.00 per hour, based on experience, skills, and qualifications.

Duties, responsibilities and activities may change at any time according to business needs.

The performance of additional responsibilities if you are designated as a Data Protection Champion (DPC), Senior Information Risk Owner (SIRO) or Information Assurance Accounting Officer (IAAO).

Work Environment

This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
