Position Summary:

The Business Operations Coordinator plays a key role in supporting both the proposal development process (70%) and business intelligence initiatives (30%). This dual-focus position ensures seamless coordination of proposal activities while providing valuable insights to drive data-driven decision-making across business development operations. The ideal candidate will be highly organized, detail-oriented, and possess the ability to work collaboratively across teams.

 

Key Responsibilities

Proposal Coordination (70%):

  • Manage and organize proposal schedules, timelines, and deliverables to ensure compliance with RFP requirements and deadlines.
  • Support proposal development teams by preparing templates, coordinating inputs from cross-functional contributors, and maintaining version control of documents.
  • Conduct compliance checks on proposal submissions to ensure alignment with solicitation requirements.
  • Collaborate with writers, subject matter experts, and graphic designers to produce high-quality, compelling proposals.
  • Manage proposal repositories and document archives for future reference and audit purposes.
  • Coordinate post-submission reviews and debriefs to capture lessons learned and identify opportunities for improvement.

 Business Intelligence Coordination (30%):

  • Assist in maintaining and updating the Customer Relationship Management (CRM) system to ensure accurate tracking of leads, opportunities, and pipeline data.
  • Generate regular and ad-hoc reports on key performance indicators (KPIs) related to business development efforts.
  • Conduct market research and analysis to support capture and proposal strategies.
  • Monitor and track industry trends, competitor activities, and government acquisition forecasts to identify growth opportunities.
  • Provide data insights and recommendations to enhance pipeline management and business development strategies.

Qualifications

  • Education: Bachelor’s degree is preferred. Equivalent work experience and certifications (APMP, Shipley, etc) may be considered.
  • Experience:
    • 1–3 years of experience in proposal/grant coordination, advanced report writing/management, business development, or project management.
    • Familiarity with CRM systems (e.g., Salesforce) and proposal management tools is a plus.

 Skills:

    • Strong organizational and project management skills, with the ability to manage multiple tasks and meet tight deadlines.
    • Exceptional attention to detail and accuracy in both proposal compliance and data management.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat.
    • Strong communication and interpersonal skills, with the ability to collaborate effectively across teams.
    • Analytical mindset with the ability to interpret data and provide actionable insights.

The pay range for this role is:

60,000 - 75,000 USD per year (Remote)
