Job Summary:

The Executive Administrative Assistant provides high-level administrative support to senior executives by handling a wide range of executive-level tasks. This role requires exceptional organizational skills, strong attention to detail, sound judgment, and the ability to manage sensitive information with utmost confidentiality. The ideal candidate is proactive, resourceful, and able to work in a fast-paced environment while managing competing priorities.

 

Essential Job Functions:

  • Provides high-level administrative support and assistance to the C Suite and/or other assigned leadership staff.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
  • Arranges travel and accommodations for executives.
  • Schedules and attend meetings on behalf of executives, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
  • Organize and orchestrate executive meetings, board meetings, and team gatherings.
  • Prepare agendas, materials, and post-meeting summaries or minutes.
  • Coordinate logistics for on-site and off-site events, including travel arrangements, accommodations, and catering.
  • Performs other related duties as assigned.

 

Schedule:

M-F, 8-5 -Central Time.  Ability to work after hours during the week and weekends, as the workload requires.

Qualifications, Education, and Experience

Required:

  • Bachelor’s degree is preferred, or equivalent combination of education and experience.
  • 5–7 years of experience supporting senior executives or C-suite leaders.
  • Experience in a fast-paced corporate, startup, or professional services environment is a plus.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Advanced proficiency in Microsoft Office Suite, Google Workspace, and collaboration tools (TEAMs).
  • Ability to multitask, prioritize effectively, and meet tight deadlines.
  • Professional demeanor with strong interpersonal skills.
  • High level of discretion and confidentiality.
  • Problem-solving mindset with the ability to anticipate needs.
  • Must be a U.S citizen.

 

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • CONUS travel may be required from time to time.

Working Conditions

  • Onsite Required/Office Environment.
  • Occasional Travel: Depending on business needs, occasional travel may be required. Travel requirements are typically infrequent and planned in advance.

The pay range for this role is:

·      $60,000 -$90,000 Annually (McKinney, TX)
