Our growing personal injury law firm is seeking a dedicated and detail-oriented Intake Specialist to serve as the first point of contact for potential clients. This role is essential in creating a strong first impression and ensuring an efficient intake process. The Intake Specialist will be responsible for gathering critical information, assessing the viability of cases, and ensuring a smooth transition to legal teams.
Key Responsibilities
Client Communication
- Handle incoming calls, emails, and inquiries from potential clients in a professional and empathetic manner.
- Conduct initial client interviews to gather information about the nature of their personal injury cases.
Case Evaluation
- Assess the viability of potential cases by gathering relevant details about the incident, injuries, and potential liability.
- Work closely with legal teams to provide comprehensive case summaries for evaluation.
Information Gathering
- Accurately collect and document client information, including personal and incident-specific details.
- Ensure accuracy and completeness of information for case evaluation.
Client Education
- Explain legal processes, expected timelines, and firm services to prospective clients.
- Address initial inquiries and set appropriate expectations for the legal process.
Appointment Scheduling
- Coordinate consultations between potential clients and attorneys.
- Manage the calendar to optimize attorney availability and efficiency.
Database Management
- Input and maintain accurate client records in the firm’s case management system.
- Regularly update client interaction notes to reflect current status.
Follow-up & Lead Management
- Perform timely follow-ups to collect additional info or answer client questions.
- Monitor and track leads to ensure consistent movement through the intake process.
Qualifications
- Prior experience in client intake or customer service (legal environment preferred).
- Excellent communication and interpersonal skills.
- Compassionate and professional demeanor when interacting with clients.
- Strong attention to detail and organizational skills.
- Familiarity with personal injury law and legal processes is a plus.
Performance Expectations

Compensation: $23 Hourly
