Our growing personal injury law firm is seeking a dedicated and detail-oriented Intake Specialist to serve as the first point of contact for potential clients. This role is essential in creating a strong first impression and ensuring an efficient intake process. The Intake Specialist will be responsible for gathering critical information, assessing the viability of cases, and ensuring a smooth transition to legal teams.

Key Responsibilities

Client Communication

• Handle incoming calls, emails, and inquiries from potential clients in a professional and empathetic manner.
• Conduct initial client interviews to gather information about the nature of their personal injury cases.

Case Evaluation

• Assess the viability of potential cases by gathering relevant details about the incident, injuries, and potential liability.
• Work closely with legal teams to provide comprehensive case summaries for evaluation.

Information Gathering

• Accurately collect and document client information, including personal and incident-specific details.
• Ensure accuracy and completeness of information for case evaluation.

Client Education

• Explain legal processes, expected timelines, and firm services to prospective clients.
• Address initial inquiries and set appropriate expectations for the legal process.

Appointment Scheduling

• Coordinate consultations between potential clients and attorneys.
• Manage the calendar to optimize attorney availability and efficiency.

Database Management

• Input and maintain accurate client records in the firm’s case management system.
• Regularly update client interaction notes to reflect current status.

Follow-up & Lead Management

• Perform timely follow-ups to collect additional info or answer client questions.
• Monitor and track leads to ensure consistent movement through the intake process.

Qualifications

• Prior experience in client intake or customer service (legal environment preferred).
• Excellent communication and interpersonal skills.
• Compassionate and professional demeanor when interacting with clients.
• Strong attention to detail and organizational skills.
• Familiarity with personal injury law and legal processes is a plus.

Performance Expectations

To thrive in this role, the Intake Specialist is expected to:

• Consistently meet or exceed KPIs related to intake volume, accuracy, and follow-up response time.
• Maintain a high level of professionalism and empathy in all client interactions.

Compensation: $23 Hourly
