About the Role

In this role, you’ll help keep our service operations running smoothly by coordinating schedules for field technicians across the territory and supporting additional service locations as needed. Working closely with the Service Manager, you’ll play an important part in creating an efficient, well-organized service operation that prioritizes customer satisfaction and consistency. This position is ideal for someone who enjoys problem-solving, multitasking, and supporting a team behind the scenes while gaining valuable experience in service operations and leadership.


General Summary of Position

Responsible for effective service scheduling of field staff team members throughout the territory and provide overflow assistance to other service locations as needed. Assist Service Manager in running an efficient service location that ensures maximum customer satisfaction and compliance with Anthony & Sylvan policy and procedures.


Essential Functions and Responsibilities

  • Serve as the primary point of contact for customers, handling inbound and outbound calls and emails in a timely manner, proactively resolving concerns, and ensuring customer needs and expectations are met
  • Proactively generate pool service bookings (including openings and closings) through outbound customer outreach and participation in seasonal call campaigns, which may require work outside normal business hours
  • Maximize service technician capacity by effectively utilizing scheduling software and tools, optimizing route density, and confirming material availability prior to scheduling services
  • Maintain clear and consistent communication with field personnel to support daily operations and timely completion of projects with minimal customer disruption
  • Ensure accurate and timely completion and submission of technician documentation, customer contracts, payment-related communications, and required paperwork
  • Review invoices, process customer billing, and manage vendor warranty claims in a timely and accurate manner (location-specific)
  • Complete required training programs and provide basic troubleshooting support to customers over the phone using Anthony & Sylvan guidelines
  •  Other duties as assigned


QUALIFICATIONS – Knowledge, Skills & Abilities

Education

High School diploma/ GED required

Licenses/Certifications

N/A

Years of Experience

1 year of construction or scheduling experience is preferred.

 

General swimming pool background experience preferred.


Logistics experience preferred.

Required Skills & Abilities

Proficient with Microsoft Office Suite with strong proficiency in Word, Excel, Power Point, Outlook.

Self-motivated, proactive, result-oriented professional with an ability to work with minimum direction.

 

Strong written and oral communication skills.

 

An approachable, engaged and effective listener with a strong customer service mentality and ability to multi-task. 

 

Positive “can-do” team-player attitude.

 

Excellent problem-solving, analytical, and financial acumen.

Other Requirements

Willingness to work over 40 hours in-office during peak times

 

Saturday availability and overtime may be required depending on Service schedule.

  • Primarily sedentary work performed in an office environment
  • Ability to communicate promptly and clearly via phone and computer
