Finance Coordinator (APEN Action)

APEN Action, mobilizes over 30,000 Asian immigrant and refugee voters to win economic, environmental, and social justice.  Since 2011, APEN Action has been educating and mobilizing voters in the bay area and across California to make sure our communities’ voices are heard from the ballot box to the legislature in Sacramento.


APEN Action’s sister organization, APEN, is an environmental justice organization with deep roots in California’s Asian immigrant and refugee communities. Since 1993, APEN has built a membership base of Laotian refugees in Richmond and Chinese immigrants in Oakland, and more recently, Asian Americans in South Bay LA. Together, we have fought and won campaigns to make our communities healthier and just places where all people have the resources we need to live full, dignified lives. We are growing our local roots and building power to make decisions at the state level that have real local impact. POSITION SUMMARY

APEN Action’s Finance Coordinator is a full-time hybrid position based in one of our 3 offices (Oakland, Richmond, and Los Angeles). The Finance Coordinator ensures the smooth and compliant operation of the organization’s financial systems and is a part of the Operations Team. The Finance Coordinator reports to the Operations & Compliance Manager, and works closely with other members of our infrastructure team and broader staff. A good working knowledge of current accounting standards, 501c(4) legal and compliance, and/or internal controls are critical skills for this role. 


**Position will be housed in C3 entity but cost shared with C4 entity**


PRIMARY RESPONSIBILITIES


  • Ensure day-to-day transactions such as accounts payable, cash receipts and accounts receivable, credit card transactions, and payroll are recorded properly.
  • Perform timely and accurate month-end journal entries and balance sheet reconciliations (e.g., net assets, revenue, expenses, payroll allocations, etc.), ensuring that accounting schedules are updated and accurate.
  • Ensuring proper revenue compliant recognition of earned revenue, restricted funding, etc.
  • Ensure proper expense recognition using fund accounting.
  • Ensure all finance and accounting operations comply with generally accepted accounting principles (GAAP) and federal and state laws and regulations.
  • Assist the Director and budget managers in developing and monitoring departmental, project, and organizational budget; assisting with monthly financial reporting needs.
  • Perform fiscal year-end close activities and assist with activities and requirements of external auditors.
  • Work with supervisor and Operations Director to ensure the adherence to and continuous improvement of the organization’s internal controls architecture, update financial procedures manual as needed.
  • Continually seeking and implementing opportunities to streamline and improve finance and accounting operations through technology including training staff to better utilize financial and accounting software.
  • Manage select administration activities, such as state unemployment and income tax registrations.
  • Other duties as assigned to meet organizational requirements.



Organizational Responsibilities:

  • Organizational Culture: Contribute to the APEN Action culture of team-building, emotional intelligence, feminisms, and leadership development
  • Basebuilding and Member Engagement:  Support organizing events with APEN Action members
  • Fund Development:  Engage in grassroots and/or foundation fundraising
  • Communications:  Act as a spokesperson and engage with communications narrative framework
  • Cross Component Support: Support various areas of organizational work, events, or campaigns as identified and participate in organizational committees and teams as needed
  • Supervision: Manage volunteers, fellows, and interns as needed



Qualifications:


  • At least 3 years of nonprofit accounting experience
  • 3+ years fluency with Quickbooks 
  • Experience with online bill pay platforms, QBO, digital messaging, Google Suite, etc
  • Good digital security and file management practices 
  • Commitment to the mission and principles of APEN Action and social justice
  • Excellent financial management, coordination, budgeting and administration skills
  • Strong written and oral communication skills, ability to communicate complex information effectively
  • Ability to manage details, meet deadlines and produce high-quality materials
  • Commitment to a culture of feedback; comfortable give/receiving feedback


Preferred Experience:

  • Accounting degree or equivalent experience
  • Audit experience


Salary and Benefits:

This is a full-time, non-exempt position with an hourly rate range of $39.04-$44.47 commensurate with experience.

ACCESSIBILITY AND WORKING CONDITIONS

This position will require applicants to work on a computer daily for long periods of time, and collaborate with colleagues and coalition partners through Zoom, email, and other digital platforms. APEN Action will provide a computer and other equipment needed to fulfill basic job responsibilities.


This position will be hybrid requiring 2 days of in-person work at one of our APEN Action offices (Oakland, Richmond, or Los Angeles). In addition, this position will also follow APEN Action’s COVID safety policies and protocols regarding in-person work. Masks are required to be worn in APEN Action offices and indoor events, with the exception of eating and drinking. All employees also are required to be vaccinated as part of our safety policy. APEN Action will continue to closely monitor local and state health officials guidance around COVID and any additional guidelines around safety for people to return to offices and gather in-person as needed.


This position may require work during irregular hours including on nights or weekends, and will require travel within California.


This position will not require applicants to carry or move heavy equipment, regularly ascend or descend a ladder, or stand or sit for long periods of time. This position will not require working in hazardous or unusual conditions such as outdoors in inclement weather.
