We are seeking a proactive and highly organized individual to join our team as an Office Coordinator. This role supports the day-to-day operational efficiency of the office while also assisting with administrative coordination between internal teams. The ideal candidate is detail-oriented, has a high degree of integrity, and is comfortable multitasking.



The Work - 


Office Administration:

  • Manage office supplies and inventory, ensuring timely procurement and stock levels.
  • Handle incoming and outgoing couriers and mail.
  • Organize and send birthday, anniversary and other celebratory cards for team members.
  • Support general office maintenance and liaise with vendors as needed.
  • Maintain relationships with office vendors and service providers for timely service delivery.

 

Internal Coordination:

  • Coordinate timely handling and signatures of documents from internal departments such as Sales and Finance.
  • Review incoming documents for completeness and proper formatting before external review.
  • Coordinate document review, feedback, and finalization.
  • Track and maintain a central record of all correspondence and agreements.
  • Ensure timely follow-ups and reminders for document review and final signatures.


The Must-Haves - 

  • Prior experience in office administration is required.
  • Excellent organizational and communication skills.
  • Strong attention to detail and ability to maintain confidentiality.
  • Proficiency in MS Office Suite (Word, Excel, Outlook) and document management tools.
  • Ability to prioritize tasks and manage multiple deadlines effectively.
