PURPOSE:


The IT Operations Specialist is responsible for supporting the organization’s IT systems, applications, and digital workflows to ensure smooth and efficient operations. This position works closely with other individuals (including staff, IT services, software liaisons etc.) to solve complex software application issues with the support of the IT Supervisor. This role involves software application support, development and management of automated workflows, hardware inventory, IT equipment setup, and end-user training. Additionally, the IT Operations Specialist assists with maintaining the company’s website and vendor ticketing/management.


MINIMUM QUALIFICATIONS

·       Must be at least 18 years of age

·       Satisfactory background checks

·       Associate’s degree in Information Technology, Computer Science, or related field; OR equivalent technical certifications/experience (CompTIA, Microsoft 365, etc.)

·       Minimum 1 year relevant work experience in technical support, IT operations, or application support

·       Experience working with employees who work remotely

·       Experience with an Agency Management Software (such as Electronic Visit Verification systems) strongly preferred


Essential Job Functions

  • Provide day-to-day support for staff using company software and applications.
  • Administer and manage our Agency Management Software (set permissions, update settings, test fixes).
  • Work with vendors to resolve software issues and request improvements.
  • Train staff on system features, workflows, and updates; create easy-to-follow guides.
  • Build and manage automated workflows in Microsoft Power Automate to simplify business processes (VBA experience a plus).
  • Troubleshoot and resolve technical or software-related issues.
  • Oversee ordering, setup, and replacement of staff equipment; keep an accurate inventory of company devices.
  • Share regular updates with staff and leadership about equipment, applications, or system status.
  • Update and maintain the company website as needed (WordPress or HTML experience a plus).
  • Coordinate DocuSign requests and distribute company documents.
  • Communicate clearly and effectively with staff at all levels.
  • Follow company and state policies, including being punctual, keeping required records, maintaining certifications, and protecting confidentiality.
  • Take on other duties as needed to support the team.
