About the role


We’re looking for a highly organized and proactive Office Assistant to manage the day-to-day operations of our Bogotá office at AspenView . This role is essential to ensuring a smooth, efficient, and welcoming workspace for our teams, clients, and visitors. You’ll support office logistics, coordinate events, and contribute to a culture of excellence and hospitality.


What you will do:

  • Oversee daily office operations including maintenance, supplies, cleanliness, and safety.
  • Create and maintain a welcoming, high-functioning workspace that reflects our brand and culture.
  • Coordinate internal and external visits; manage visitor access and ensure security protocols are followed.
  • Manage vendor relationships and office purchases, from supplies to services.
  • Assist with office planning, including seating arrangements and layout optimization.
  • Serve as the primary point of contact for facilities, deliveries, and office communications.
  • Prepare weekly reports on office activities, events, and improvements.
  • Support HR with onboarding and offboarding logistics for employees and contractors.
  • Coordinate logistics for meetings and events—booking rooms, arranging catering, and setting up tech (e.g., video conferencing).
  • Lead the organization and execution of internal events, including team gatherings and celebrations.
  • Collaborate with IT to ensure all office tech runs smoothly (Wi-Fi, conferencing equipment, etc.).

What you bring:

  • 2–3 years of experience in office management, facilities coordination, or administrative roles.
  • Strong verbal and written communication skills in English.
  • Highly organized with strong attention to detail and the ability to multitask effectively.
  • Proactive, self-motivated, and comfortable working independently.
  • Strong interpersonal skills and a passion for creating a great office experience.
  • Event planning experience is a plus.
  • Bachelor’s degree or equivalent experience preferred.
