Banyan is hiring an Operations Specialist to run the day-to-day machinery behind our people systems, office, and federal contract compliance. This is an execution-focused generalist role. You will administer our HR systems, keep our office running, manage GSA and financial compliance reporting, and coordinate recruiting and benefits logistics. You will be the person who makes sure the details across several operational domains are handled accurately and on time, every time.

Office and Workplace Management
• Maintain a regular in-office presence and run day-to-day office logistics: supplies, mail and packages, and coordination with our coworking space partners.
• Serve as the first point of contact for in-office troubleshooting and support.
• Coordinate culture touchpoints (e.g., lunches and happy hours).
Federal Contract and Financial Compliance
• Administer our GSA schedule, including monthly Transactional Data Reporting (TDR).
• Maintain the compliance calendar: track deadlines, own what you can directly, and proactively follow up with internalpartners who hold information you need.
• Oversee our credit card program: monitor timely reconciliation, stand up new project cards and budgets for new contracts, close out cards and budgets when projects end, and work with Director of Operations to train staff on policies.
• Support internal accounting practices in collaboration with an external vendor, the Director of Operations, and President.
People Systems and HRIS
• Manage the HRIS vendor relationship. Serve as the primary administrator of our HRIS (Rippling): process new hire setup, upload and share required documentation, ensure information is accurate and up to date.
• Run a light bi-weekly accuracy check on payroll and coordinate manual adjustments as needed.
Recruiting and Onboarding Coordination
• Coordinate the mechanics of full-cycle recruiting: work with recruiting firm to post openings, schedule interviews, prepare offer letters.
• Upon hire, coordinate onboarding paperwork and system setup, and logistics of first weeks in collaboration with hiring manager and supervisor. Deliver first day onboarding sessions on behalf of Operations Team, covering things like culture, ways of working, benefits, and basic systems.
Benefits Administration
• Coordinate with PEO on open enrollment logistics.
• Lead internal communications for our annual benefits enrollment period.
State Compliance
• Manage state labor registration requirements in partnership with our PEO and external state tax vendor, keeping filings current as our footprint changes.
Required Qualifications:
• 3–5 years of experience in an operations, HR administration, or office management role that required juggling several functional areas at once.
• Prior experience at a government contractor or GSA schedule holder.
• Comfort working inside HRIS platforms (Rippling experience a strong plus) and financial or bookkeeping tools such as QuickBooks Online.
• Experience with, or a strong willingness to learn, federal contracting compliance requirements, including GSA Schedule administration and FAR basics.
• Excellent attention to detail and follow-through on recurring, deadline-driven work.
• Comfort being the point of contact for a physical office: vendor coordination, light logistics, in-person troubleshooting.
• Excellent judgment and discretion handling confidential financial and employee information.
• Ability to manage multiple recurring workstreams at once without letting any one of them slip.
Compensation:
Salaries for this open position start from $80,000 commensurate with level and experience.
