The Bid Coordinator plays a key role in managing and supporting the end-to-end bid process. This includes coordinating proposal development, ensuring timely submissions, and collaborating with cross-functional teams to deliver compelling, compliant, and competitive bids.
Key Responsibilities
- Coordinate the preparation, review, and submission of RFPs, RFIs, and RFQs
- Maintain bid schedules, timelines, and deliverables
- Liaise with internal stakeholders (sales, delivery, legal, finance, talent) to gather required inputs
- Ensure compliance with client requirements and internal standards
- Format and edit proposal documents for clarity, consistency, and professionalism
- Track bid status, outcomes, and feedback for continuous improvement
- Support post-submission activities such as clarifications and presentations
- Maintain bid library and templates for future use
Qualifications & Skills
- Bachelor’s degree in Business, Communications, or related field
- 5+ years of experience in bid coordination, proposal writing, or sales support
- Strong organizational and project management skills
- Excellent written and verbal communication
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and document collaboration tools
- Ability to work under pressure and meet tight deadlines
- Attention to detail and commitment to quality
Preferred
- Experience with government or enterprise RFPs
- Familiarity with proposal automation tools (e.g., RFPIO, Loopio)
- Understanding of procurement processes and sales cycles
