Position Summary
The Executive Assistant provides high level administrative and operational support to senior leaders within Billingsley’s Multifamily Operations group. This role supports executives overseeing property operations, performance, and strategy, and plays a critical role in coordinating schedules, communications, and operational priorities across the multifamily portfolio. The ideal candidate is highly organized, detail oriented, discreet, and comfortable operating in a fast paced, operationally driven environment.
Key Responsibilities
• Manage complex calendars, meetings, and scheduling for multifamily operations executives
• Coordinate internal and external meetings, including preparation of agendas, materials, and follow up items
• Serve as a primary point of contact for communications related to multifamily operations, exercising sound judgment and professionalism
• Support coordination with property management teams, vendors, and internal departments as needed
• Handle confidential and sensitive information with discretion
• Prepare correspondence, presentations, reports, and operational documents as requested
• Coordinate travel arrangements, itineraries, and expense reporting
• Assist with operational projects, reporting deadlines, and executive level initiatives
• Support department meetings, site visits, and occasional offsite events
• Anticipate needs, proactively resolve administrative issues, and help streamline operational workflows
Qualifications
• Experience supporting senior executives, preferably in multifamily, real estate operations, or property management environments
• Strong organizational skills with exceptional attention to detail
• Excellent written and verbal communication skills
• Ability to manage competing priorities in a deadline driven environment
• High level of professionalism, discretion, and sound judgment
• Proficiency in Microsoft Office and comfort learning new systems and operational tools
• Ability to work independently while collaborating effectively across property and corporate team
Preferred Qualifications
• Experience supporting multifamily operations leaders or regional leadership teams
• Familiarity with property management operations, reporting cycles, and site level coordination
• Experience coordinating meetings, site visits, or portfolio level initiatives across multiple properties
Work Environment
This role is based in the office and requires flexibility to support multifamily operations needs, including occasional schedule adjustments and site visits.
