Tenant Services Coordinator

Founded in 1978 by Lucy and Henry Billingsley, the organization expertly builds, owns, and manages its properties, ensuring long-term client, resident, and partner return. Specializing in master-planned developments and principles of new urbanism, each Billingsley property signifies technology, convenience, and a vast array of amenities aimed to attract and retain tenants, residents, visitors, and employees. These amenities include art, sculpture, parks, trails, and outdoor public spaces. With over 5,000 acres in DFW, Billingsley has built 5 million SF of Commercial space, 550,000 SF of Retail, 9 million SF of Industrial, and over 10,000 units of Multi-Family. 

 

Under the guidance of the Senior Property Manager, the Tenant Services Coordinator plays a vital role in ensuring the smooth operation of our property management office. This position is crucial for maintaining daily administrative tasks and supporting our property management team effectively.


Job Responsibilities:

Office/Property Management

o   Keep track of and order office supplies, snacks, and drinks for the office

o   Handle all front desk responsibilities, including answering phones, greeting guests and vendors

o   Accept packages for PM office and create outgoing mail labels as needed

o   Handle sustainability reports for trash, e-waste, shredding events, etc.

o   Monitor expenses related to office supplies to stay in budget.

o   Take notes during bi-weekly team meetings

o   Distribute Daily Access List

o   Prepare vendor contracts in Dock365

o   Track and upload vendor COI’s to SharePoint

o   Submit and code Invoices

o   Assist with tenant insurance compliance through Trust Layer

 

Tenant Relations

o   Handle tenant work orders in Yardi Facility Manager and set up new tenants and remove outgoing tenants

o   Handle tenant access cards in S2, HID Mobile, and TIBA Parking

o   Provide communications to tenants and handle tenant relationships, serve as first point of contact for tenants, vendors, and property visitors

o   Update tenant contact information quarterly; primary and emergency contacts, employee count

o   Coordinate tenant move in Welcome Gifts and Welcome Packets

o   Assist with tenant work order request process and bill backs

o   Partner with Corporate Marketing team to distribute weekly Tenant Newsletters

o   Attend and take notes during regular tenant meetings.

 

Schedule and coordinate tenant events

o   Flu Shot Clinic, Blood Drives, TSA PreCheck, Mammography, Car Detailing

o   Monthly Tenant Happy Hours, Frio Pop Summer Event, Annual Tenant Breakfast, Tenant Christmas gifts and other events Ownership implements

o   Coordinate conference room scheduling/room set up

o   Coordinate monthly E-Waste pick-up and semi-annual shred events and notify tenants

o   Track all events and attendance numbers

 


Job Qualifications:

  • High School Diploma required; some college strongly preferred
  • Must have commercial property management experience
  • Proficient in Microsoft Office products (Excel, Outlook, Word Etc.)
  • Exemplary written and verbal communication skills
  • Proficient in Yardi, Voyager
  • Self-Motivated with a high sense of urgency
  • Ability to provide extraordinary customer service and follow-up skills
