Office Manager

Founded in 1978 by Lucy and Henry Billingsley, the organization expertly builds, owns, and manages its properties, ensuring long-term client, resident, and partner return. Specializing in master-planned developments and principles of new urbanism, each Billingsley property signifies technology, convenience, and a vast array of amenities aimed to attract and retain tenants, residents, visitors, and employees. These amenities include art, sculpture, parks, trails, and outdoor public spaces. With over 5,000 acres in DFW, Billingsley has built 5 million SF of Commercial space, 550,000 SF of Retail, 9 million SF of Industrial, and over 10,000 units of Multi-Family. 

 

The Office Manager will play a critical role in maintaining a positive office environment, managing administrative tasks, supporting internal teams, and ensuring the office runs smoothly and efficiently.


Key Responsibilities:

  • Manage day-to-day office operations, including office supplies, equipment, and maintenance needs.
  • Act as the primary point of contact for facility management, IT support, and vendor relationships.
  • Oversee front desk activities, including reception, mail distribution, and visitor management.
  • Coordinate internal meetings, events, catering, and conference room scheduling.
  • Assist with onboarding new employees by preparing workspaces and facilitating office tours and orientation.
  • Manage office budgets, track expenses, and process invoices.
  • Maintain and enforce office policies, procedures, and safety protocols.
  • Provide administrative support to leadership as needed, including scheduling, travel arrangements, and document preparation.
  • Support HR functions, such as assisting with employee engagement initiatives, maintaining employee records, and coordinating company events.
  • Provide direct executive support to senior leadership, including calendar management, meeting coordination, expense reporting, and special projects.
  • Serve as a culture champion, helping to create a welcoming, professional, and productive workplace environment.

Qualifications:

  • Proven experience as an Office Manager, Administrative Manager, or similar role.
  • Exceptional organizational and multitasking skills with keen attention to detail.
  • Strong written and verbal communication skills.
  • Proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfortable learning new software systems.
  • Ability to handle confidential information with discretion.
  • Positive attitude, flexible mindset, and a proactive approach to problem-solving.
  • Bachelor's degree preferred, but not required based on experience.

Preferred Skills:

  • Experience supporting HR or accounting processes is a plus.
  • Familiarity with people management systems like Rippling or similar platforms.
  • Event planning experience.

Work Environment:
This position is fully onsite during business hours and may occasionally require extended hours to support special events or projects.
