Commercial Assistant Property Manager

Assistant Property Manager

Reporting to the General Manager, Senior Property Manager and Property Manager, the Assistant Property Manager is responsible for day-to-day property management functions, including but not limited to, tenant relations, property maintenance, property appearance and condition, contract and vendor management, accounts receivable, budgets, reporting and support for leasing activities.


Job Responsibilities:

  • Strategic partnership with the Property Manager in reaching the Company’s objectives for the asset
  • Assist the Property Manager in the management of day-to-day operations of the property including supervision of the building staff, contract services and tenant relations
  • Assist with tenant and vendor insurance compliance
  • Assist Property Manager in the preparation of annual operating budgets analysis of monthly expenses and cost allocations
  • Assist Property Manager with accruals, reforecasts and reclasses
  • Control costs to remain within budget
  • Provide communications to tenants and handle tenant relationships, serve as main point of contact for tenants, vendors, and property visitors
  • Perform regular property inspections and walk the property with contractors as needed
  • Serve as backup for Tenant Services Coordinator when on PTO or lunch breaks
  • Administering leases to ensure compliance with all terms and conditions
  • Provide clear and effective tenant communication concerning all operational aspects of the property
  • Assist with tenant improvement work, tenant work order request process and bill backs
  • Serve as contact for contractors, and vendors on all property management activities
  • Coordinate office procedures, setup and maintain files etc.
  • Coordinate with accounting for lease setup in Yardi
  • Coordination and working tenant events

Job Qualifications

  • Minimum 5 years property management experience required
  • Exemplary written and verbal communication skills
  • Experience with budgeting, operating expense reconciliation, AR and AP process
  • A solid understanding of real estate finance and accounting
  • Extremely proficient in Microsoft Office products (Excel, Outlook, Word Etc.)
  • Proficient in Yardi, Voyager
  • Self-Motivated with a high sense of urgency
  • Sound judgment and reasoning skills
