Part-Time Tenant Services Coordinator

Specializing in master-planned developments and principles of new urbanism, each Billingsley property signifies technology, convenience, and a vast array of amenities aimed to attract and retain tenants, residents, visitors, and employees. These amenities include art, sculpture, parks, trails, and outdoor public spaces. With over 5,000 acres in DFW, Billingsley has built 5 million SF of Commercial space, 550,000 SF of Retail, 9 million SF of Industrial, and over 10,000 units of Multi-Family. 

 

We are seeking a highly organized and service-oriented Tenant Services Coordinator to join our property management team at The Landing. This part-time position plays a critical role in creating a welcoming and efficient office environment while ensuring top-tier service for our tenants and vendors.


Hours: Monday–Friday, 9:00 AM – 3:00 PM (with break), up to 30 hours per week


Key Responsibilities


Front Desk & Communications

  • Greet and direct guests, vendors, and tenants
  • Answer and route phone calls
  • Draft and distribute daily passdown updates
  • Coordinate telecom access with vendors and schedule after-hours work as needed

Tenant Relations & Events

  • Plan and coordinate tenant events, including flu shot clinics, car washes, and holiday gifts
  • Draft and distribute weekly newsletters and tenant blasts
  • Coordinate amenities like conference room bookings and monthly e-waste pickups
  • Partner with marketing and retail to promote tenant offers and event materials

Move-In & Welcome Coordination

  • Organize move-in logistics and coordinate welcome breakfasts

Systems & Facilities Support

  • Manage work orders in Yardi Facility Manager
  • Maintain access in the S2 security system, including issuing and tracking access cards
  • Track vendor Certificates of Insurance
  • Monitor parking violations in collaboration with security
  • Conduct bi-weekly janitorial walks for vacant suites

Administrative Duties

  • Maintain up-to-date tenant contact information and distribution lists
  • Order office and kitchen supplies
  • Assign mailboxes and distribute keys
  • Track monthly sustainability metrics in SharePoint
  • Organize weekly team lunches

Ideal Candidate

  • Friendly, proactive, and customer-focused
  • Excellent organizational and multitasking skills
  • Comfortable with technology platforms such as Yardi, SharePoint, Outlook, and basic design/email marketing tools
  • Previous experience in property management or office coordination preferred
