What You’ll Do

Birdeye is growing its London presence, and we are looking for a Human Resources and Office Operations Specialist to be the first point of contact for employees in the office. This is a varied, hands-on role. The majority of your time will be spent delivering a smooth, high-quality employee experience for our UK employees, from onboarding and offboarding to day-to-day HR queries, employee records and UK compliance. You will also act as Office Manager for the London office and provide Executive Assistant support to the SVP of the London office.

The ideal candidate is an organised, discreet and proactive HR professional who enjoys keeping people, processes and places running smoothly.

People Experience (primary focus)

  • Own onboarding for UK new starters: issue offers and contracts, complete right-to-work and pre-employment checks, coordinate equipment and system access with IT, run first-day and induction logistics, and check in during the first weeks and probation.
  • Own offboarding for UK leavers: process resignations and terminations, issue leaver documentation, manage final pay inputs, holiday payouts, equipment return and access removal, and complete exit processes.
  • Process internal moves, promotions and changes to terms and conditions, and issue the related letters and contract amendments.
  • Maintain accurate employee records in the HRIS, ensuring data quality and compliance with UK GDPR and internal data-protection standards.
  • Administer UK payroll inputs, starters, leavers, and changes, working with Finance and external payroll providers.
  • Administer UK benefits and statutory processes, including pensions auto-enrolment, private medical and other benefit providers, Statutory Sick Pay, family leave (maternity, paternity, shared parental, adoption), and holiday and absence tracking.
  • Act as the first point of contact for day-to-day HR queries on policies, pay, benefits, leave and working arrangements, using a case or ticketing system where available.
  • Provide first-line support on employee relations matters, including absence and return-to-work, flexible working requests, and the administration of grievance and disciplinary processes, escalating complex cases to senior HR and legal.
  • Ensure HR policies, handbooks and contract templates comply with current UK employment law and ACAS guidance, and recommend updates as legislation changes.
  • Administer cycle processes run by the global People team, such as performance reviews, compensation changes and engagement surveys, by handling UK logistics, reminders and record updates.
  • Support recruitment logistics for the London office: coordinating interviews, issuing offers and managing candidate communications.
  • Run routine HR reports for London, such as headcount, starters and leavers, and absence, and keep HR trackers up to date.
  • Help deliver employee experience touchpoints for the London team, such as welcome events, work anniversaries and wellbeing activities.

Acting Office Manager, London

  • Be the first point of contact for the London office, managing a welcoming, safe and well-run workplace.
  • Manage the relationship with the landlord, building management and facilities vendors; log and follow up on maintenance and repairs.
  • Order and manage office supplies, equipment, refreshments and vendor contracts, working within budget.
  • Coordinate IT equipment for new starters and leavers with the IT team, and keep the asset inventory up to date.
  • Maintain health and safety compliance, including risk assessments, fire-safety procedures, first-aider and fire-warden rosters, and accident records.
  • Manage visitor access, deliveries, post, desk booking and meeting-room arrangements.
  • Plan and run in-office events, team socials and visits from colleagues in other regions.
  • Track and reconcile office expenses and invoices, working with Finance on purchase orders and approvals.

Executive Assistant to the SVP, London Office

  • Manage the SVP’s calendar, prioritising meetings, resolving conflicts and protecting focus time across time zones.
  • Arrange domestic and international travel, accommodation and itineraries, and process expense reports.
  • Prepare agendas, briefing materials and meeting notes, and track follow-up actions.
  • Draft and coordinate correspondence and communications on the SVP’s behalf.
  • Organise customer, partner and leadership meetings, offsites and events in London.
  • Act as a trusted liaison between the SVP, the London team and global colleagues, handling confidential information with discretion.

Requirements

  • A minimum of 3 years’ relevant HR experience within the UK, covering core HR administration and the employee lifecycle.
  • Working knowledge of UK employment law and practice, including contracts, right-to-work, statutory leave and pay, pensions auto-enrolment and UK GDPR.
  • Hands-on experience running onboarding and offboarding and answering day-to-day employee HR queries.
  • Experience with an HRIS (for example Workday, Rippling, HiBob or similar) and strong proficiency in Google Workspace or Microsoft 365.
  • Excellent organisational and time-management skills, with the ability to juggle competing priorities and shift between strategic and administrative work.
  • Outstanding written and verbal communication skills and a high standard of professionalism and discretion with confidential information.
  • A proactive, solutions-focused approach and comfort working independently in a fast-paced environment.
  • Full right to work in the UK.
  • Experience in a high-growth technology or SaaS company with global, multi-region team is a plus.
