Job Title: Human Resources and Finance Assistant, Global Greengrants Fund

Location: Remote in the US.

Team: The Human Resources and Finance Assistant in the present accountability structures is line managed by the Director of People and Culture, with additional accountability to the Vice President and Chief Financial Officer while building and working in more collaborative ways.


Human Resources and Finance Assistant

The Human Resources and Finance Assistant supports People and Culture and Finance and functions to achieve organizational goals and to facilitate organizational compliance of relevant policies and processes. The Assistant will provide administrative support and guidance to managers and staff across a full range of HR and Finance operational activities. They will also be responsible for calendar management and travel logistics for the Director of People and Culture and the Vice President and Chief Financial Officer. They will be responsible for establishing and maintaining filing systems, handling information requests, compiling presentations, and conducting research as required.


General Duties and Responsibilities: 

  • Be the key Rippling administrator, including helpdesk role for all staff, contractors and vendors.
  • Acts as a personal assistant to the Director of People and Culture and Vice President and CFO.
  • Assist in educating employees and managers on policies and procedures relating to HR and Finance initiatives, including developing presentations and training material; provides research as necessary
  • Administrative preparations, scribing, and reporting for numerous meetings.
  • Manages and schedules internal and external meetings, working closely with other administrative and support staff in many cases.
  • ensuring up-to-date banks of document templates are maintained, including drafting and maintaining process flow documents; 
  • preparing basic reports eg presenting data against performance metrics and or finance related presentations for internal and external use; 
  • managing and coordinating responses to enquiries via HR and Finance’s generic email accounts.
  • Undertake any other work that may be reasonably required from time to time.

Human Resources Duties and Responsibilities: 
1. Pre and post-hiring process: 

  • Coordinate posting job vacancies and managing incoming applications. 
  • Manage and maintain job postings, including through GGF’s workforce management system.
  • Schedule interviews with candidates. 
  • Ensures timely response to questions from hiring managers, applicants, and new hires
  • Assist with initial candidate screenings. 
  • Assist with reference checks and background checks on potential hires.

2. Orientation and onboarding: 

  • Prepare and update onboarding materials including employee handbooks. 
  • Facilitate the onboarding process for new hires, including orientation, paperwork, and training coordination.
  • Manage the offboarding process for departing employees, ensuring the return of company property and completion of exit interviews. 
  • Conducts new employee orientation

3. HR Administrative Support (including benefits administration) : 

  • Assist in developing and implementing HR policies and procedures. 
  • Support employee engagement initiatives and company culture activities. 
  • Handle employee inquiries and provide support regarding HR policies and procedures. 
  • Enter data into the HR database and personal files and keep them up-to-date in order to facilitate HR processes management.
  • Assists in administering and updating employee benefits.
  • Assist with benefits enrollment, changes, and employee inquiries. 
  • Support annual benefits renewal and open enrollment processes.

4. Training and Development: 

  • Assist in coordinating training sessions and development programs for employees. 
  • Track and report on employee training completion and compliance. 

Finance Duties: 

1. Payroll assistance: 

  • Support the payroll process, ensuring accuracy and compliance with company policies and regulations.
  • Maintain and update employee payroll records.
  • Address payroll-related inquiries and issues from employees. 
  • Assist with tax filings and compliance reporting related to payroll. 
  • Assist where needed in the production and sharing of payroll and benefits reports to Director of People & Culture and the Vice President and CFO
  • Assist with ensuring accuracy of Time and Attendance data. 
  • Assist with ensuring compliance with IRS and other governmental laws and regulations.  

2. Meeting Preparation & Other Administrative Matters: 

  • Prepare meeting agendas, presentations, and other materials for internal and external meetings. Take accurate meeting minutes and follow up on action items.
  • Process and reconcile the CFO's expense reports, ensuring compliance with organizational policies.
  • Maintain organized and accessible electronic and physical files, including confidential financial documents. Ensure compliance with record retention policies.
  • Special Projects: Manage special projects as assigned by the CFO, which may include research, event planning, or data analysis.

Essential Knowledge, Skills, Abilities, and Experience

  • Significant relevant experience in a similar role in a similar organization.
  • Demonstrated knowledge of Rippling software.
  • Excellent organization skills with extensive experience in project and program management, ability to develop, monitor, and evaluate an operational plan with multiple projects, multiple deliverables, and deadlines; ability to plan, organize, and lead the implementation of plans and processes.
  • Meticulous with exceptionally strong follow-up and follow-through skills.  
  • Excellent interpersonal understanding, relationship building, and interpersonal skills to build strong alliances with diverse constituencies.
  • Experience working with diverse communities from multiple identities across the globe, in a virtual environment.
  • Ability to work under high-pressure situations and meet tight deadlines.
  • English fluency is a must; proficiency in other languages preferred.
  • Writing, proofing, and editing skills. Ability to adjust tone and style to address a variety of audiences appropriately.
  • Strong expertise in the use of various software and a high level of computer literacy (MS Office Suite, Google Apps, instant messaging, and virtual team collaboration software such as Trello, Zoom, Slack, Asana, Egnyte, and Adobe). 
  • Ability to travel within the US and the rest of the world (approx. 2 weeks per year).

The pay range for this role is:

67,000 - 67,000 USD per year (Remote)
