Position Summary 

The Payables Specialist is responsible for managing and processing all business payments, ensuring accuracy and timeliness while maintaining strong cash flow management. This role requires close collaboration with the Controller, Staff Accountant, and VP of HR to oversee financial obligations, including payroll cash flow, and support the company’s financial health. 

 

Key Responsibilities 

  • Manage and process all business payments, ensuring accuracy, timeliness, and compliance with company policies. 
  • Maintain vendor relationships, resolve payment discrepancies, and negotiate favorable terms as needed. 
  • Ensure proper documentation and approvals are obtained for all payments. 
  • Collaborate with the Controller and Staff Accountant to effectively manage cash flow and optimize outgoing payments. 
  • Work closely with the VP of HR and Controller to monitor and manage payroll cash flow, ensuring sufficient funding for payroll obligations. 
  • Assist in forecasting and budgeting for payables to align with overall financial strategies. 
  • Identify opportunities to improve the efficiency and accuracy of the payables process. 
  • Ensure compliance with company policies, internal controls, and regulatory requirements. 
  • Support audits by providing necessary documentation and reports related to accounts payable and payroll transactions. 
  • This is a salaried position with flexible hours based on business needs. The typical workweek is approximately 45 hours, though this may vary. 

 

Qualifications 

  • Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred. 
  • 2+ years of experience in accounts payable, finance, or a related role. 
  • Strong understanding of cash flow management and accounts payable processes. 
  • Proficiency in accounting software and ERP systems. 
  • Excellent attention to detail, organizational, and time-management skills. 
  • Strong communication and problem-solving abilities.

Compensation for this position is $57,000 - $65,000 annually, depending on experience.
