About the role
- The Night/ Weekend Receptionist is required to provide telephone directory assistance and take phone messages in our organization. These professionals greet customers into the office and handle many calls and direct them to appropriate members of the organization. They may be directed to guide potential resident families on community tours. They also do a wide variety of clerical and administrative tasks as needed by management.
Essential Duties and Responsibilities

- Assists Office Manager, Executive Director, and other site Directors in their job functions as needed.
- Answer phones and direct calls to the appropriate person.
- Greet and help walk-ins.
- Be the first point of contact for resident families.
- Administer access control badges for staff, families, and visitors.
- Provide tours for potential residents and families.
- Partner with management to maintain office policies as necessary.
- Provide general support to visitors.
- Assist Directors in the planning and execution of company events.
- Ensure filing systems are maintained and current.
- Maintain a safe, secure, and pleasant work environment.
Night/Weekend Receptionist requirements:
- Excellent time management skills and ability to multitask and prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- Proficient in Microsoft Office.
- Knowledge of administrative management practices and procedures.
- Knowledge of clerical practices and procedures.
- Knowledge of business and management principles.
- Computer skills and knowledge of office software packages.

Educational Requirements and Experience:
- High School Diploma or GED required.
- Minimum One year experience in a receptionist role is preferred.
Certifications, Licenses and other Special Requirements:
- Valid State Driver’s License required for vehicle travel
- Knowledgeable in building codes and safety regulations
Knowledge, Skills and Abilities:
- Language Ability:
- Ability to communicate effectively in writing and verbally speaking the primary language of the residents.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or team members of organization.
- Mathematical Skills:
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Cognitive Demands:
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Ability to deal with problems involving several concrete variables in standardized situations.
- Computer Skills:
- Ability to use Microsoft Windows, including Word and Excel.
- Ability to use email and the Internet.
