About the role

  • The Jewelry Shop Administrative Assistant supports the jewelry production team by managing intake, tracking, documentation, and coordination between departments. This role ensures accurate data entry, organized job flow, and clear communication between the repair department, bench jewelers, and store teams.

What you'll do

  • Receive incoming jewelry, castings, and repair items and ensure proper documentation.
  • Perform accurate data entry into The Edge POS and internal tracking systems.
  • Tag, label, and organize merchandise and repair items.
  • Photograph finished and in-progress jewelry pieces for records and marketing use.
  • Prepare jewelry for transfer between store locations and departments.
  • Coordinate shipping and receiving, including insured shipments and tracking documentation.
  • Maintain organized job bins and assist with inventory and component tracking.
  • Serve as liaison between the repair department and bench jewelers to ensure clear communication and workflow continuity.
  • Monitor production progress and follow up internally to support timely completion.
  • Maintain a clean, secure, and organized production workspace at all times.
  • Adhere to all company operational, documentation, and security standards.

Qualifications

  • Foundational knowledge of jewelry (metals, gemstones, terminology) preferred.
  • Strong attention to detail and organizational accuracy.
  • Comfortable working with POS systems and digital tracking tools.
  • Ability to manage multiple tasks in a production-driven environment.
  • Strong written and verbal communication skills.
  • Ability to handle delicate, high-value merchandise with care.
  • Interest in craftsmanship and long-term growth within the jewelry industry.
  • Previous production, repair, or shop experience preferred but not required.
  • Availability to work in person during weekday hours, approximately 9:00 AM – 5:00 PM
