About the role
- Through precision, organization, and discretion, the Watch Service Intake Coordinator plays a critical role in protecting the integrity of client timepieces and ensuring a seamless service experience from intake through repair completion. This position serves as the primary point of control for watch repair intake, documentation, tracking, and communication between Sales Professionals, Watchmakers, vendors, and internal teams.
What you'll do
- Receive, log, and process all incoming watch repairs in accordance with company procedures and security protocols.
- Verify watch details upon intake, including brand, model, serial number, condition, accessories, and service requests.
- Create accurate and detailed repair intake records in the point-of-sale and/or service management system.
- Photograph watches at intake to document condition prior to service.
- Generate and maintain repair tags, job tickets, and tracking documentation.
- Coordinate with Watchmakers, authorized service centers, and external vendors regarding repair estimates, timelines, approvals, and status updates.
- Monitor in-progress repairs and proactively follow up to ensure timely completion.
- Communicate clearly with Sales Professionals regarding repair status, approvals, delays, and completed services.
- Ensure all warranties, service documentation, and estimates are properly filed and attached to each repair record.
- Maintain strict chain-of-custody standards for all watches in service.
- Assist with inventory audits and reconciliation related to watches in repair.
- Identify discrepancies, unusual conditions, or process gaps and escalate to appropriate leadership.
- Support continuous improvement initiatives to enhance efficiency, accuracy, and service turnaround times.
- Maintain a clean, secure, and organized service intake area at all times.
Qualifications
- Prior experience in watch repair intake, service coordination, luxury retail operations, or inventory control.
- Strong attention to detail and high level of organizational accuracy.
- Experience working with high-value or serialized items.
- Proficiency with POS systems, service tracking systems, Microsoft Office, and email-based communication.
- Ability to clearly document technical details and service notes.
- Excellent written and verbal communication skills.
- Experience working with luxury watch brands or authorized service centers.
- Familiarity with watch repair processes, service terminology, and warranty procedures.
- Horological education is a plus (not required).
- This role may require occasional evenings, weekends, or holidays based on service demand.
- Must adhere to all company security and operational protocols at all times.
