About the role

  • The Executive Assistant provides high-level administrative support to executive leadership at C.D. Peacock. This role is responsible for managing schedules, coordinating meetings and travel, handling confidential information, and supporting day-to-day business operations. The Executive Assistant plays a critical role in managing priorities, supporting key initiatives, and ensuring smooth and efficient operations across the organization.

What you'll do

  • Serve as a primary point of contact for executive leadership, managing communication with internal leaders, boutique teams, clients, and external partners.
  • Draft and edit correspondence, presentations, and communications on behalf of executive leadership.
  • Manage complex calendars, scheduling internal meetings, external engagements, client appointments, and frequent domestic and international travel.
  • Book and manage all travel arrangements, including flights, accommodations, ground transportation, and dining reservations; prepare detailed itineraries and ensure seamless execution of travel plans.
  • Anticipate travel-related needs and resolve any changes or issues quickly to minimize disruption.
  • Manage select personal administrative needs for executive leadership, including personal travel, medical and other appointments, and time-sensitive errands, handled with discretion and professionalism.
  • Handle expense reporting, credit card reconciliation, and accurate submission of receipts for both business and authorized personal expenditures.
  • Prepare meeting materials, agendas, and follow-up documentation; attend meetings as requested, record notes, and track action items through completion.
  • Receive and prioritize incoming communications, determining urgency and ensuring timely responses or appropriate delegation.
  • Support client relationship management by tracking key interactions, follow-ups, and event participation.
  • Coordinate and oversee executive leadership’s involvement in store events, client experiences, and industry functions.
  • Maintain accurate, confidential records and files with the highest level of discretion.
  • Provide polished administrative support including preparation of memos, reports, invoices, and presentations.
  • Assist with the alignment of corporate initiatives by coordinating with other executives and departments as directed.
  • Perform additional responsibilities as assigned to support leadership and advance C.D. Peacock’s strategic objectives.

Qualifications

  • Bachelor’s degree in Business Administration or a related field preferred.
  • 3–5 years of experience in an executive assistant or senior administrative support role, ideally in luxury retail, hospitality, or a corporate environment.
  • Proven experience supporting C-level or senior executives with confidentiality and sound judgment.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities, frequent travel, and competing deadlines.
  • Exceptional written and verbal communication skills with meticulous attention to detail.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to quickly learn new systems.
  • Professional presence, polished demeanor, and strong interpersonal skills appropriate for executive-level and client-facing interactions.
  • Independent, proactive work style with the ability to anticipate needs and act decisively.
  • Flexibility and resilience in a fast-paced environment with shifting priorities.
  • Comfortable working in a dog-friendly environment, with the ability to provide light support for pet-related needs when required.

The pay range for this role is:

65,000 - 100,000 USD per year (Corporate)
