About the Role
We're looking for an energetic, outgoing, and service-minded Site Administrative Assistant & Barista to join our Clinical Operations team. This unique role combines administrative support for our clinical research site with creating an exceptional hospitality experience for our patients and visitors through Lava Java, our onsite coffee shop.
You'll be one of the first people our patients meet, helping create a warm, welcoming, and memorable experience while also supporting the clinical team with scheduling, documentation, data entry, and day-to-day administrative operations. ⚠️ Please Note: This role is 100% onsite in Morehead City, North Carolina and requires working Monday through Friday, 40-hour work weeks. Remote and hybrid work arrangements are not available.
What You’ll Do
- Welcome patients and visitors with exceptional customer service, creating a positive and memorable first impression.
- Prepare and serve specialty beverages at Lava Java (our onsite coffee shop) while creating an engaging, energetic atmosphere for guests.
- Build genuine connections with patients by initiating conversations and helping them feel comfortable throughout their visit.
- Support check-in and administrative processes to ensure a smooth patient experience.
- Coordinate appointments, maintain calendars, send reminders, and assist with participant communications.
- Enter and maintain accurate information in CTMS, Electronic Data Capture (EDC), and other clinical research systems.
- Verify participant tracking information and maintain accurate documentation.
- Assist with maintaining reception areas, waiting rooms, Lava Java, and other participant-facing spaces to ensure a welcoming environment.
- Help maintain office, laboratory, and study supplies while supporting inventory management.
- Coordinate with physicians, vendors, healthcare professionals, and other external partners as needed.
- Support patient recruitment activities and special projects assigned by Research Management.
- Cross-train within the Administrative Team and rotate between hospitality and administrative responsibilities as operational needs require.

You Might Be a Great Fit If You:
- Have 1–2 years of experience in an administrative, hospitality, customer service, or healthcare environment.
- Enjoy working with people and naturally create welcoming, positive experiences for others.
- Have outstanding communication and interpersonal skills with an energetic, outgoing personality.
- Are comfortable multitasking and balancing both customer-facing and administrative responsibilities.
- Take pride in staying organized, paying close attention to detail, and maintaining accurate records.
- Are comfortable learning new technology and software systems; experience with Microsoft Office is required, and experience with CTMS or EMR systems is an asset.
- Have strong verbal communication skills and are confident engaging with guests throughout the day.
- Enjoy being part of a collaborative team and are willing to jump in wherever help is needed.
- Can maintain professionalism and confidentiality while working with sensitive patient information.
- Have a high school diploma or equivalent; post-secondary education in Business, Healthcare Administration, or a related field is considered an asset.
- Bring creativity, enthusiasm, and a hospitality mindset that helps make every patient interaction a positive one.
