CIBSE (the Chartered Institution of Building Services Engineers) is the professional body that exists to advance and promote the art, science and practice of building services engineering, to invest in education and research, and to support our community of built environment professionals in their pursuit of excellence. CIBSE is looking for a dynamic Head of Events. The Institution is a charity which plays a critical role in a growing and changing built environment sector. We are currently expanding and diversifying to support our strategic goals to improve performance and safety, health, sustainability and achieve net zero carbon in the built environment.
This is an exciting time to join CIBSE, which is undergoing modernisation in its internal processes and culture. The successful candidate will have an opportunity to co-ordinate activity in an already flourishing commercial events business comprising Awards, Conferences and breakfast briefings. The role will also lead on a number of “corporate” events including the AGM and Annual Industry Dinner as well as other ad hoc events that will take place in our new Skills Hub.The role will have two direct reports (event co-ordinators) who will assist in the planning and execution of all events to the highest of standards.
Overall:
To be responsible for a range of activity leading to the successful delivery on our market leading events. You will work closely with sales, marketing, technical and finance and have ultimate responsibility for delivering our events. You will organise events meetings and ensure that all internal and external stakeholders are kept informed of progress, timelines and key actions and responsibilities. You will manage external stakeholders, be involved in venue selection (and liaison) and be a key member of the on-site delivery team. You will be well organised, dynamic and have excellent communication skills as well as attention to detail which is essential. The role is varied and evolving and will change and evolve as the portfolio grows. You will be expected to be flexible and adaptive and not be afraid to roll up your sleeves and get involved in a whole range of activities. You will have energy and a “can do” attitude, a sense of fun and not be afraid of hard work.
· Working with stakeholders and the CIBSE team to deliver a range of events, awards and conferences
· Manage event team including regular appraisals and 121’s
· Delivery of events in line with budget and financial expectations
· Schedule and chair event meetings and prepare actions and timelines for each event
· Arrange logistics for all events and liaise with suppliers and venues to ensure smooth delivery
· Agree communication strategy for customers
· Agree key tasks with Sales, Marketing and Technical teams for each event
· Build a network of contacts across CIBSE to facilitate delivery of events
· Creation of a customer centric culture – setting and delivering satisfaction KPI’s
· Manage operations (via third party contractor)
· Build communication strategy for each event to ensure stakeholder engagement
· Accurate record keeping and IT skills

· Two years’ minimum event experience · Financial control – managing expenditure and forecasting. · Communication skills: The skill to impart information and training to stakeholders, internal staff and the wider CIBSE team. · Decision-making skills: The ability to determine which events to focus on to deliver on our key objectives. · Attention to detail: Ensure each event is on schedule and delivered with precision and accuracy. · Collaboration skills: You'll be working with a wide range of stakeholders from a variety of backgrounds – academics, experts and engineers to name a few ! · IT literacy – To work across our systems and processes | · Knowledge of the construction sector · Working with an Institute, Institution or Association · Presentation skills – presenting to boards/ senior groups · International Experience – delivering global events |
