
Purpose
The Sales Support Coordinator owns the operational backbone of Citadel Aviation’s global sales organization, including CRM integrity, pipeline hygiene, executive dashboards and reporting, and meeting coordination, so that leadership has one source of truth and the sales team can focus on selling.
This role keeps the sales system honest and current through accurate records, disciplined stages, clean dashboards, and reliable reporting that leadership uses to forecast revenue and manage the pipeline. Success looks like a CRM the entire organization trusts, dashboards ready every Monday, and a sales team freed from administrative drag.
This position reports to the Director of Global Sales and works closely with Business Development, the Regional Sales Directors, Marketing, and Program Management.
Responsibilities
CRM Administration & Data Quality
• Serve as day-to-day administrator of the sales CRM, maintaining accurate account, contact, aircraft, and opportunity records.
• Enforce data hygiene, including deduplication, stage discipline, close and induction-date accuracy, and required-field compliance on every opportunity.
• Train sales team members on CRM standards and reinforce adoption across the organization.
Dashboards & Pipeline Hygiene
• Build and maintain the Monday Leadership Dashboard and supporting views covering revenue, pipeline, sales activity, forecast, and market.
• Monitor pipeline coverage against the 3X standard and flag stalled deals, data gaps, and aging opportunities.
• Maintain pipeline hygiene so reporting is accurate without manual clean-up.
Sales & Proposal Reporting
• Produce recurring reporting packages, including the weekly pipeline review, sales-activity summary, and forecast, as well as bookings, backlog, and win/loss reporting with lost reasons.
• Compile leadership views such as top 10 opportunities, top 5 at-risk, top 5 new, and major competitive losses.
• Build ad hoc analyses for leadership on request, spanning territory, aircraft type, customer type, and work-scope mix.
Meeting & Appointment Coordination
• Coordinate the weekly sales cadence of a Monday global sales meeting, a Wednesday pipeline review, and a Friday activity update, and prepare the supporting materials.
• Coordinate customer appointments and aircraft-visit logistics on behalf of the sales team.
Sales Support & Proposal Coordination
• Support proposal preparation and formatting and coordinate quote follow-up.
• Maintain the template library, past-performance documentation, and sales collateral with version control.
• Assist with coordination of industry trade shows and events such as NBAA-BACE, EBACE, MEBAA, and regional events.
Cross-Functional Liaison
• Partner with Business Development on lead and data flow into the CRM.
• Support clean handoff of sold work from Sales to Program Management.
Requirements
Required
• Bachelor’s degree in Business, Marketing, Aviation Management, or a related field; equivalent experience considered in lieu of a degree.
• 2+ years in sales operations, sales support, CRM administration, or program and sales coordination, preferably in aviation, aerospace, or another technical B2B environment.
• Advanced Microsoft Excel (pivot tables, lookups, chart-based reporting) and strong overall Microsoft Office proficiency (PowerPoint, Word).
• Demonstrated CRM administration experience and a high standard for data accuracy.
• Exceptional written communication and document-preparation skills, with the ability to produce customer-ready deliverables with minimal editing.
• Proven ability to manage multiple concurrent priorities under deadline pressure with a high degree of accuracy.
• Authorized to work in the United States.
Preferred
• Direct experience in business aviation, commercial aviation MRO, aircraft completions, or aftermarket services.
• Business intelligence tool experience (Power BI, Tableau).
• Familiarity with FAA Part 145 repair station operations and Part 91/135 operator environments.
• Prior involvement supporting trade shows or industry-event execution.
Working Conditions
• Primarily office-based and on-site, with regular collaboration across sales, marketing, and program teams and occasional time on the hangar floor.
• Minimal travel, with occasional travel for industry events or HQ support.
• Must be able to work extended hours during proposal deadlines, event weeks, and month-end and quarter-end close.

• Is personable and professional, comfortable engaging with ultra-high-net-worth (UHNW) clients, C-suite executives, and their representatives, and communicating with equal ease across internal teams and external customers.
• Works with meticulous detail orientation, recognizing that a mistyped tail number or stale close date has downstream consequences for forecasting and planning, where accuracy is the essence of the role.
• Takes an ownership mentality as the single point of accountability for the systems the entire sales organization depends on.

• Brings strong systems aptitude with CRM, dashboards, and reporting tools.
