Job Description
The Events Manager will lead the planning and execution of high-impact events that advance ClearPath’s mission. This role manages ClearPath’s external events and trips while supporting broader stakeholder engagement and external affairs strategies. The Events Manager will manage a wide-ranging portfolio of convenings, including Congressional briefings, policy forums, salon dinners, domestic and international Congressional and staff delegation travel, and relationship-building events with key stakeholders across the energy and policy landscape.
This individual will develop and execute event strategies that include thoughtful guest list development, creative venue selection, and strong vendor partnerships to deliver seamless guest experiences that reflect and elevate ClearPath’s brand. While collaborating closely with teams across the organization, the Events Manager will report directly to ClearPath’s Senior Director of External Affairs. The ideal candidate brings strong project management and execution skills, excellent internal and external communication abilities, and is a natural relationship-builder who thrives in fast-paced environments and can represent ClearPath with stakeholders.
External Events Management (75%)
- Own the event lifecycle for regularly occurring ClearPath events and trips, with a key focus on execution
- Support ClearPath’s engagement on international events and trips, which includes working closely with event production companies and other project partners
- Travel on advance trips to support site visits, logistics planning, and food and beverage tastings during menu selection
- Procure event venues to make sure they are in alignment with the ClearPath brand and budget
- Create and manage annual events budget to maximize the organization's financial investment, monitoring expenditure, forecasting costs and ensuring accurate reporting for each event
- Create and maintain event workback plans to keep projects on track
- Use developed event industry network to liaise with external vendors such as caterers, A/V and lighting companies, entertainment, and photographers; negotiate vendor contracts
- Negotiate hotel contracts and concessions including hotel guest room blocks; monitor hotel pickup to ensure that ClearPath’s financial investment is maximized
- Coordinate and manage transportation needs such as working with destination management companies
- Partner with internal teams and external stakeholders to ensure events adhere to Congressional ethics guidelines, legal requirements, compliance standards and risk mitigation best practices
- Brief and manage speakers and event attendees by creating pre-event background documents that include bios, talking points and logistical information
- Manage invitation development, including design and organizing guest lists across teams; track RSVPs using event software such as Zkipster
- Develop and manage guest name badges and place cards with sensitivity to titles and protocol
- Manage internal on-site registration/check-in team and oversee vendors
Stakeholder Engagement and External Affairs (25%)
- Act as the primary host for events, creating a warm, organized, and engaging environment that reflects the organization’s values and professionalism
- Execute work with discretion and professionalism, including liaising with offices of senior-level guests such as Members of Congress and Administration officials
- Identify, cultivate and maintain relationships with industry, government and NGO thought leaders
- Develop a strong understanding of ClearPath’s key audiences and identify creative, effective ways to connect them to our events and mission
- Design and support engagement opportunities that strengthen relationships with ClearPath’s target audiences and help translate policy objectives into action
- Recommend and evaluate high-impact sponsorship and partnership opportunities to enhance brand engagement, including with media and industry partners

Qualifications
- 5-8 years of experience
- Candidates with fewer years of experience but strong skills and demonstrated impact are encouraged to apply and may be considered for an Events Specialist or Events Coordinator role, depending on qualifications.
- Bachelor’s degree or equivalent combination of education and relevant experience
- Demonstrated experience managing event budgets and tracking expenses with accuracy
- Exceptional attention to detail and strong organizational skills
- Proven experience securing hotel room blocks and negotiating hotel and venue contracts
- Experience developing events in collaboration with venues, caterers, consultants and stakeholders
- Strong collaborative skills, with experience working cross-functionally and managing external vendors, consultants and service providers
- Ability and willingness to travel domestically and internationally up to 25% of the time
- Flexibility to work non-traditional hours as required to support events
Preferred Qualifications
- Demonstrated experience in special event operations; experience working with high-level or VIP guests like Members of Congress or CEOs
- Familiarity with Capitol Hill or similar policy-focused environments
- Experience with event advance planning
- Working knowledge of the Washington, DC venue market, including existing relationships with special event vendors
- Familiarity with event management software, including but not limited to Zkipster and Social Tables
