Job Title: Sales Operations & Marketing Coordinator

Reports to: VP of Business Development

Support Scope: Supports SNF/LTC, AL/IL/CCRC & Health Systems Development Teams

Mission

The Sales Operations & Marketing Coordinator is the strategic backbone of the growth team.

Your mission is to provide high-level administrative support, manage the CRM "Source of Truth,"

and create high-impact marketing collateral that distinguishes our physician group in the senior

living and post-acute markets. You turn "raw data" into "persuasive stories" and ensure no lead

falls through the cracks.


Detailed Key Responsibilities

1. Marketing & Brand Collateral (The "Creative")

● Collateral Development: Design and update brochures, "One-Pagers," and slide decks tailored to specific facility types (e.g., a "Hospitality" deck for AL vs. a "Clinical Outcomes" deck for SNFs).

● Digital Presence: Manage the group’s LinkedIn presence and email newsletters to Facility Administrators, sharing success stories and white papers.

● Proposal Prep: Ghostwrite and format formal Request for Proposals (RFPs) and Medical Director Agreements, ensuring 100% brand consistency and zero typos.

● Event Coordination: Manage the logistics for trade shows, "Lunch & Learns," and Community Wellness Seminars (booth shipping, catering, invite lists).

2. Sales Operations & CRM Management (The "Organizer")

● CRM Gatekeeper: Own the CRM (Salesforce/HubSpot). Ensure BDMs are logging calls, updating stages, and setting follow-up tasks.

● Data Reporting: Pull weekly reports on the "Sales Funnel"—showing leadership exactly how many leads are in "Discovery" vs. "Contracting."

● Lead Research: Use tools like Medicare.gov (Care Compare) to pull "Star Ratings" and "Readmission Data" for target facilities so the BDMs arrive at meetings with "intel."


3. Executive Administrative Support (The "Glue")

● Calendar Strategy: Manage complex scheduling between facility CEOs/Owners and our Lead Physicians or BDMs.

● Contract Routing: Manage the digital signature process (DocuSign) and ensure executed contracts are filed and shared with the Billing/Onboarding departments.

● Travel & Expense: Coordinate regional travel for the BD team and manage the business development budget/expense reporting.


Candidate Profile & Requirements

Professional Background

● Experience: 3+ years in a Marketing Coordinator or Executive Admin role, preferably within Healthcare, Real Estate, or Professional Services.

● Design Skills: High proficiency in Canva, Adobe Creative Suite, or advanced PowerPoint. You should be able to make a "dry" data table look visually stunning.

● Tech Stack: Expert-level knowledge of CRM systems and Microsoft Office 365. Core Competencies

● The "Anticipator": You don't wait to be told what to do; you see a meeting on the calendar and proactively print the folders and research the facility.

● Hyper-Organized: You are the person who finds the typo that everyone else missed. You thrive on "getting the trains to run on time."

● Aesthetic Eye: You understand that in high-end Assisted Living, the look and feel of our marketing materials is just as important as the clinical content.


Performance Success Indicators (The First 90 Days)

● First 30 Days: Audit all existing marketing flyers and the CRM database; create a "standardized" sales kit for the BDMs.

● First 60 Days: Implement an automated "Nurture Campaign" for leads that haven't closed yet.

● First 90 Days: Reduce the "Contract-to-Onboarding" time by streamlining the administrative handoff between sales and clinical operations.


Compensation & Benefits

● Base Salary: $70K-80K commensurate with marketing/admin expertise + Annual Bonus Potential
