West Michigan Plastic Surgery (WMIPS) is a leading plastic surgery and aesthetic practice serving patients across Southwest Michigan. Job Summary:
Responsible for providing patient education, coordination, and scheduling for insurance surgery cases, HRT patients, vitamin injections, blood draws and office procedures. Assists providers and staff in coordinating patient care. Functions as a liaison between patients, staff and physician.
Reporting: Direct report to Practice Manager and physician.
Job Responsibilities/Tasks:
- Assesses patient's general condition and takes vital signs, photos and weight prior to their exam.
- Maintains exam rooms for necessary supplies and materials. Ensures cleanliness. Prepares list of medical supplies needed. Prepares equipment and aids physician during treatment, examination, surgical procedures and testing of patients.
- Educates patient/family about diagnostic procedures, and maintenance of health and wellness.
- Conducts prior authorizations with insurance companies for surgical procedures. Responsible for obtaining deductible amounts to collect prior to surgery.
- Ensure that all pre-surgical testing is ordered & complete prior to surgery, i.e. EKG. Cardiac clearance, discontinuation of any medications, etc.
- Greets patients and prepares them for physician examination. Screens patients for appropriate information.
- Maintains/reviews patient records, EMR and other pertinent information.
- Responsible for chart prep for providers daily.
- Functions as the primary MA for our HRT program including but not limited to; ordering labs, providing supplements and ensuring scripts are generated and delivered. Schedules HRT consultations with provider as well as follow-up appointments & follow up lab work.
- Maintains proper reporting of HRT pelleting procedures, inventory levels & orderingof pellets.
- Responds to/refers incoming patient treatment-related phone calls daily per practice protocols. Instructs patient and family regarding pre-operative and post-operative care.
- Receives post-op notes & ensures provider reviews are completed prior to scanning in chart.
- Responsible for taking patient x-rays as medically required.
- Performs suture removal & other post-operative care as required.
- Provides B-12 & Lipo mino injections per patient requests.
- Performs blood draws for PRP procedures as needed.
- Maintains patient confidentiality.
- Cleans & maintains surgical instruments.
- Orders clinical supplies and reports inventory orders & changes to Practice Manager.
- Attends monthly Staff meetings & participates in clinic marketing & promotional events.
- Staffs other clinic location one half day per week.
- Performs other related duties as directed or required.
Education:
- High school diploma
- Medical Assistant certificate.
Experience:
Minimum of two years experience in a medical office
Knowledge:
The jobholder must demonstrate current competencies applicable to the job position.
- Knowledge of clinic policies and procedures.
- Knowledge of medical chart reporting/records.
- Knowledge of medical terminology and insurance practices.
- Knowledge of grammar, spelling, and punctuation to communicate effectively.
- Knowledge of computer programs and applications.

Physical/Mental Demands:
Varied activities including standing, walking, reaching, bending and lifting. Requires full range of body motion including handling and lifting patients, manual and finger dexterity and eye-hand coordination. Must be able to use a variety of office equipment. Occasionally lifting and carrying files up to 50 pounds. May require working under stressful conditions.
Environmental/Working Conditions:
Normal office and exam room environment. Frequent exposure to communicable diseases, toxic substances, medicinal preparations and other conditions common to a clinic environment.
