Job Summary

The Copyright Administrator is responsible for managing the end-to-end process of registering and recording music copyrights for compositions and sound recordings. This role involves working closely with the Data, Legal, and M&A teams to ensure accurate and timely registration of copyrights with the US Copyright Office, including tracking assignments, updating claimants, and maintaining accurate records. The role also involves coordinating with third-party vendors for bulk registrations and conducting extensive research to gather necessary copyright information.

Responsibilities

Copyright Registration and Recordation

  • Registration Process:
    • Review licenses and agreements to determine copyright ownership & registration commitment.
    • Research existing copyrights using the US Copyright Office’s database and search tools.
    • Register individual  recordings and compositions for copyright protection with the US Copyright Office.
    • Resolve queries and issues arising from copyright registration review with the US Copyright Office. 
    •  Maintain records and inventory of submitted and processing registrations, including metadata, music files, registration status, and assigned copyright numbers.


  • Recordation Process:
    • Track and collaborate with the M&A team to obtain necessary documentation, including short-form assignments and schedules.
    • Ensure consistency and accuracy in schedules and assignments across all acquisitions.
    • Record Short Form Assignment of Copyright agreements and related Schedules with the USCO
    • Populate USCO asset spreadsheet
    • Submit recordations to the US Copyright Office and manage approved recordation certificates.
    • Coordinate with Finance and M&A teams regarding approved recordations and registrations for quarterly compliance




Data Management and Research

  • Master Sheet Maintenance:
    • Maintain and update  internal catalogue and records with all identifiers, certificates, and metadata from registration and compliance procedures .
    • Ensure data integrity for compliance and reporting objectives.
  • Research and Verification:
    • Conduct extensive research using Salesforce and other internal systems to gather missing data (e.g., ISRCs, author information, claimant information).
    • Verify chain of title and rights information for each asset.
    • Ensure accurate and complete metadata for each registration, especially for complex cases.




Collaboration and Coordination

  • Cross-functional Collaboration:
    • Work closely with the Data Team to identify assets requiring registration.
    • Coordinate with the M&A team to ensure accurate copyright registration for acquired catalogs.
    • Collaborate with the Legal team to resolve issues related to assignment documentation and recordation rejections.
  • Vendor Coordination:
    • Coordinate with third-party vendors for bulk registration submissions.
    • Ensure all required music files and documentation are accurately compiled and sent to vendors.





Copyright Process Improvement and Optimization

  • Workflow Optimization:
    • Organize and batch registrations by product for more efficient processing.
    • Explore automation opportunities with internal IT teams to streamline manual data entry and form submissions.
    • Maintain consistent schedules and templates for recordations to minimize rejections and processing delays.
  • Compliance and Reporting:
    • Track and report registration and recordation status to ensure compliance with legal and contractual requirements.




Neighbouring Rights Administration 

  • Registration
    • Ensure all DDEX fees to Neighbouring Rights societies are up to date on a regular basis
    • Coordinate with broader company to track key pipeline catalogs 
    • Generate weekly registration reports
  • Conflicts
    • Track and resolve conflicts on a weekly basis 
    • Lead weekly internal conflict call 
    • Generate weekly conflict reports

Qualifications 

  • Education:
    • Bachelor’s degree in Music Business, Legal Studies, or a related field is preferred.
  • Experience:
    • Minimum of 2 years of experience in music copyright registration, rights management, or music rights administration.
    • Experience with the US Copyright Office's eCO site and third-party registration vendors (e.g., Cosign) is preferred.
    • Familiarity with Salesforce or similar CRM systems for research and data verification is an asset.
  • Skills and Competencies:
    • Strong understanding of copyright registration, recordation, and assignment processes.
    • Proficiency in Excel, Adobe DC and data management tools for tracking and organizing copyright assets.
    • Excellent attention to detail and accuracy in data entry and documentation.
    • Strong research and problem-solving skills, especially in complex copyright scenarios.
    • Effective communication and collaboration skills with cross-functional teams and external vendors.
  • Pay Scale
    • $70,000-$80,000 USD annually
