We’re currently seeking a Label Billing & Payment Assistant to join our small but mighty team and play a crucial role in keeping our financial operations sharp, clean, and on-point.

Job Summary

We’re looking for a highly organized, detail-loving Label Billing & Payments Assistant who’s comfortable juggling numbers, deadlines, and digital tools. You’ll be managing day-to-day financial activities, keeping our records accurate and up to date, and helping us stay on top of budgets across artist campaigns, marketing initiatives, and internal projects.

Responsibilities

• Create & Submit artist advances and contractor invoices

• Submit domestic and international wires to finance team

• Execute payments through PayPal, Wise, and other platforms

• Track progress and execution of all payments across platforms
  
• Coordinate monthly contractor payments across departments
  
• Collect & organize W9s, bank details, and other key docs
  
• Correspond with artists and artist management teams to answer billing related questions/resolve issues

• Maintain and reconcile accurate, up-to-date financial records
  
• Track all transactions and categorize expenses properly
  
• Monitor A/P and A/R to ensure smooth cash flow
  
• Coordinate with our parent company’s finance team

• Work with the team to forecast financial needs
  
• Track budgets on campaigns, releases, and projects
  
• Generate simple but effective reports on cash flow, actuals vs projections, and upcoming liabilities

• Manage the marketing expense entry process
  
• Ensure accurate coding and documentation of marketing costs
  

Qualifications 

• Have 2+ years of bookkeeping, finance, or ops support experience
  
• Know your way around Tipalti or similar AP software, PayPal, and Wise (or can learn fast)
  
• Are obsessive about accuracy, detail, and deadlines
  
• Communicate clearly and professionally across teams
  
• Thrive working independently in a fast-paced, creative environment
  
• Bonus: You’ve worked with music companies or creative teams before

$19.23 - $24.00/hr
