Job Summary
The Royalties Administration Manager supports all areas of royalty administration in a fast-paced, high-volume environment. This role is responsible for coordinating the collection, organization, and internal distribution of royalty statements and contract-related data; managing Letters of Direction (LODs) and portal access; and supporting the onboarding of new catalog acquisitions. The ideal candidate is highly organized, proactive, and comfortable navigating complex workflows while collaborating cross-functionally to ensure accurate and timely royalty operations.
Responsibilities
- Manage the collection, organization, and internal dissemination of royalty statements, contracts, and related documentation across the Royalties team and partner departments
- Download, track, and organize all incoming royalty source statements from a vast number of distributors, labels, publishing companies, and more
- Oversee correspondence and documentation related to Letters of Direction (LODs), particularly for new acquisitions and catalog changes
- Partner with the M&A team to support the onboarding of new acquisitions, ensuring complete metadata collection, detailed source lists, and smooth integration into existing royalty workflows
- Partner with the AR team to ensure statement receipts and payment reconciliation
- Serve as a primary point of contact for high-volume internal and external royalty inquiries, providing accurate and timely responses
- Facilitate clear cross-team communication to maintain workflow continuity and prevent bottlenecks
- Proactively identify, troubleshoot, and resolve workflow inefficiencies or data issues before they escalate
- Consistently meet strict reporting and processing deadlines while maintaining professionalism under pressure
- Maintain and manage portal access credentials and permissions across royalty platforms
- Contribute to process documentation and operational improvements within the royalty administration function
- Other duties as assigned
Qualifications
- 4+ years of professional experience in music royalties administration or related royalties operations
- Bachelor’s degree in Accounting, Business, or a related field preferred, or equivalent professional experience
- Deep understanding of end-to-end music royalty structures, statements, and data flows
- Excellent written and verbal communication skills, with the ability to clearly convey complex information to both technical and non-technical stakeholders
- Strong mathematical and analytical skills, with a proactive, solution-oriented approach to problem solving
- Exceptional time management, organizational, and prioritization skills while maintaining strong attention to detail in deadline-driven environments
- Familiarity with Python and running scripts via command line is a plus and may be used to support operational efficiency
- Working knowledge of general programming concepts and data workflows
- Proficiency in Google Workspace and Microsoft Office Suite
- High level of professionalism and discretion
Pay Scale
- $60,000 - $68,000 CAD per year
- The final compensation within this range will be determined based on the candidate’s experience, skills, and overall fit for the role.
