About the role


We are seeking a highly organized and proactive individual to join our team as a Senior Administrative Assistant. This role will provide administrative support to the Sr. Director & Chief of Staff and Office of the CEO, managing schedules, coordinating meetings & events, etc.  The ideal candidate will have excellent communication skills, a high level of confidentiality and discretion, and the ability to prioritize tasks, and proactively approach problem-solving. 

As part of the administrative team, you’ll have the opportunity to contribute to key projects, embrace new communication technologies, and capture the key points and action items in meetings, even with very complex technical discussions. You will thrive on creating an engaging work environment, for both in-office and remote employees, and will demonstrate these skills not only within your team, but also as a key member of the Social Committee.

What you'll do

  • Provide comprehensive administrative support to ensure efficient operations, including scheduling meetings, managing calendars and handling correspondence. 
  • Handle sensitive information with discretion, ensuring compliance with company privacy policies and regulations.
  • Draft and distribute communications maintaining a high level of accuracy and professionalism.
  • Input, update, and maintain data in various databases and spreadsheets with a high degree of accuracy.
  • Maintain accurate ownership of digital records in SharePoint, to facilitate easy access to information.
  • Assist with planning, coordination and execution of conferences and events, including scheduling, material preparation, logistics, catering, etc. 
  • Prepare and edit correspondence, presentations, reports, and other documents as required
  • Assist with expense report process.
  • Assist with special projects and initiatives as assigned, providing research, analysis, and administrative support as needed
  • Key member of the Social Committee, assisting with planning and execution of company events.


About You

  • Proven experience as a Senior Administrative Assistant or similar role, supporting senior-level executives
  • Excellent organizational and time management skills, with the ability to multitask and prioritize competing demands effectively
  • Strong communication skills, both written and verbal, with a high level of professionalism and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint) and other relevant software applications
  • Discretion and confidentiality when handling sensitive information and communications
  • Ability to multitask and manage time effectively in a fast-paced environment
  • High level of professionalism and a positive attitude
  • Ability to anticipate needs, take initiative, and problem-solve independently

During the interview process, your Recruiter will explain how our rubrics work across all our total rewards (base, equity, bonus, perks, benefit, culture) offerings. The base salary for this role is targeted between $60K - $90K CAD per year. The final offer is determined by your proficiencies within this level.
