About the Role
We’re hiring our first Office and Administrative Manager to keep our New York HQ running smoothly and create a great experience for employees and visitors. Since this is a brand-new role, you’ll set the tone for how the office operates. You’ll build simple best practices, spot what needs attention before anyone asks, and handle a lot of moving parts without dropping them.
You’ll manage our space, keep day-to-day operations on track, support executives when needed, and serve as the on-site partner for basic IT coordination. You’ll also be the face of the office for guests and the person everyone counts on to solve problems quickly and keep things running cleanly.
What You’ll Do
- Own daily office operations and make sure the space stays organized, stocked, and welcoming for employees and guests.
- Greet visitors, manage office access, and keep the front desk area and conference rooms ready for the day.
- Oversee meeting room schedules, handle room setups, and keep meetings running on time for internal teams and external guests.
- Coordinate with building management, vendors, and service providers for cleaning, supplies, snacks, repairs, and anything else needed to keep the office humming.
- Support on-site IT needs in partnership with our remote IT team. This includes issuing and collecting laptops, basic troubleshooting, and shipping or receiving hardware.
- Maintain an accurate inventory of laptops, monitors, and accessories. Make sure new hires have everything they need on day one.
- Build and maintain simple processes and documentation for onboarding, offboarding, office procedures, and basic tech setups.
- Provide executive support for key leaders, including calendar management, travel booking, expenses, and meeting coordination.
- Help plan and run in-person events such as all-hands, offsites, client visits, and office gatherings.
- Keep office policies, emergency procedures, and other important operational details organized and clearly communicated.
Who You Are
- 4 - 7 years of experience in office management, operations, executive assistant, or local IT support roles, ideally in a tech or high-growth environment.
- You are comfortable handling both people and systems, able to talk to vendors one moment and troubleshoot a monitor or Wi-Fi issue the next.
- Strong organizer with excellent attention to detail and follow-through.
- Clear, professional communicator who’s comfortable working with everyone from new hires to executives and visitors.
- Proactive and resourceful, you notice issues before they become problems and take ownership of solving them.
- Tech-savvy with tools like Google Workspace, Slack, Zoom, and basic device management or ticketing systems.
- Able to handle confidential information with discretion and professionalism.
Success Looks Like
- The office feels smooth, welcoming, and well-run, allowing people to focus on their work without having to think about logistics.
- New hires have a great first experience: their equipment is ready, access works, and they feel supported from day one.
- Local IT issues get handled quickly or routed effectively to the right partner; equipment is tracked and managed with minimal surprises.
- Executives trust you with their calendars, travel, and logistics, and feel more efficient because of your support.
- Teams see you as a reliable, calm point of contact who gets things done and makes the office better over time.
