We are seeking an organised and detail-oriented Document Controller to join our Engineering team. The successful candidate will be responsible for managing, controlling, and maintaining engineering and project documentation throughout the project lifecycle, ensuring information is accurate, up to date, and readily accessible to internal and external stakeholders.


Experience working within an engineering, construction, manufacturing, or project-based environment would be a distinct advantage. The role requires excellent organisational skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment.


Key Responsibilities

Document Management

  • Manage and maintain project and engineering documentation in accordance with company procedures.
  • Ensure documents are correctly registered, distributed, filed, and archived.
  • Control document numbering, revision status, and approval workflows.
  • Maintain document registers and tracking logs.
  • Issue documents to clients, suppliers, subcontractors, and internal stakeholders as required.
  • Ensure all documentation is current and superseded documents are appropriately archived.

Engineering & Project Support

  • Support the Engineering team with the administration of drawings, technical specifications, reports, and project documentation.
  • Coordinate document submissions and approvals with clients and project teams.
  • Assist in preparing document packages for project milestones and handovers.
  • Monitor outstanding document actions and follow up with relevant stakeholders.
  • Support project close-out activities and final documentation compilation.

Quality & Compliance

  • Ensure document control processes comply with company quality management systems and project requirements.
  • Maintain accurate records for auditing purposes.
  • Assist with internal and external audits relating to document management.
  • Ensure confidentiality and security of company and client information.

Communication & Coordination

  • Liaise with engineers, project managers, procurement teams, clients, and suppliers regarding documentation requirements.
  • Provide document control guidance and support to project team members.
  • Contribute to continuous improvement initiatives within document management processes.

Essential Requirements

  • Previous experience in an administrative, document control, project coordination, or similar role.
  • Strong organisational and time management skills.
  • Excellent attention to detail and accuracy.
  • Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and Teams.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks and work to deadlines.
  • Ability to work independently and collaboratively within a team environment.

Desirable Requirements

  • Experience in a document control role within engineering, construction, manufacturing, utilities, or similar industries.
  • Familiarity with engineering drawings, technical documentation, and project documentation processes.
  • Experience using Electronic Document Management Systems (EDMS) or Common Data Environments (CDEs).
  • Understanding of quality management systems such as ISO 9001.
  • Knowledge of revision control and document approval workflows.
  • Technical or engineering qualifications would be advantageous but are not essential.
