Office Manager

Position Overview

The Office Manager is responsible for overseeing day-to-day administrative operations while supporting accounts payable, human resources, and office systems. This role serves as a central coordination point for the organization, ensuring efficient office management, accurate financial processing, and effective employee support. The position requires a highly organized and proactive individual capable of managing multiple priorities in a fast-paced environment.

 

Key Responsibilities

  • Oversee day-to-day office operations, including facilities, vendors, supplies, and administrative systems, ensuring an efficient and professional work environment
  • Support the finance team on accounts payable processes, including invoice coding, approvals, payment tracking, and vendor coordination
  • Assist the Head of People in HR-related tasks, including onboarding/offboarding, employee records management, benefits coordination, and policy administration
  • Coordinate office logistics such as meetings, travel, and company events, while supporting leadership and team needs
  • Serve as liaison for IT support, including user setup, equipment management, and coordination with external service providers
  • Maintain organized document management systems and support internal reporting, compliance, and audit readiness
  • Monitor office-related budgets, vendor performance, and opportunities to improve operational efficiency

 

Qualifications

  • Bachelor’s degree (or equivalent experience)
  • 5+ years of experience in office management, administrative operations, or similar role in a professional environment
  • Experience with accounts payable processes, including invoice management, coding, and vendor coordination
  • Working knowledge of HR support functions, including onboarding, employee records, and benefits administration
  • Proficiency in Microsoft 365 (Outlook, Excel, Word, SharePoint, Teams) and general business systems
  • Strong organizational and multitasking skills, with the ability to manage competing priorities and deadlines
  • Excellent communication and interpersonal skills, with a service-oriented and proactive approach
  • Experience coordinating with external vendors (IT, HR, accounting, facilities)
  • High level of attention to detail, discretion, and ability to handle confidential information

 

Reporting Structure

This position reports to the HR Manager and works cross-functionally with geology, engineering, operations, and corporate teams.
