Role Description

The Billing Specialist role plays a critical role in our finance and operations team, ensuring the smooth and accurate handling of our financial transactions. This position requires a highly detail-oriented and self-disciplined individual who thrives in a fast-paced environment. The Billing Specialist is essential for maintaining our reputation for high-quality service by ensuring timely and accurate billing for both our Partners and Clients. They resolve billing disputes, maintain and enforce compliance with company policies and industry standards, and stay abreast of new payment systems and technologies.

Key Responsibilities 

Client and Partner Communication

• Respond promptly and professionally to phone calls, efficiently addressing inquiries and concerns with courtesy and precision.
• Engage in clear, effective communication to resolve billing issues, ensuring customer satisfaction and maintaining trust in our services.

Financial Reconciliation and Verification

• Conduct daily reconciliation of services rendered, ensuring all financial records are accurate and complete.
• Verify details of business transactions, including funds received and disbursed, to maintain accurate financial accounts.

Invoice Management and Processing

• Monitor a shared mailbox dedicated to invoicing, processing all transactions, and resolving any invoice-related issues ranging from minor to medium levels of complexity.
• Secure payments by verifying and posting receipts and comparing partner invoices, prices, terms of payment, and other charges to ensure all transactions are correct and fair.

Customer Support Enhancement

• Enhance customer support mechanisms to facilitate smoother payment processes, ensuring timely invoicing and diligent follow-ups for prompt payments.
• Act as a bridge between clients and the finance department, improving communication and understanding regarding billing matters.

Reporting and Feedback

• Provide timely feedback to management regarding billing challenges, partner concerns, or any discrepancies observed, documenting patterns and queries for continuous improvement.
• Prepare and present reports detailing billing activities, discrepancies resolved, and suggestions for systemic improvements.
• Collaborate with stakeholders across the organization to identify problems, recommend changes, and enhance system performance for better financial management.

Qualifications

• Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
• Proven experience in a billing or accounting role, with an understanding of accounting principles and practices.
• Excellent communication and interpersonal skills, with the ability to interact effectively with clients, partners, and internal stakeholders.
• Strong analytical and problem-solving abilities, with attention to detail and accuracy.
• Ability to adapt to changes in payment systems and technologies, staying up-to-date with industry trends and regulations.

Team Collaboration

As a Billing Specialist, you will collaborate closely with internal teams to ensure proper account payables and receivables best practices are met. You will also provide support to internal teams, troubleshoot customer billing issues, and monitor account performance. Additionally, you will be responsible for ensuring that all customer invoices and partner payments are accurate and up-to-date.
