Senior Payroll and Benefits Specialist

Since 2008, Everfi has been a leading provider of digital education, matching organizations with schools to sponsor social education such as financial wellness, mental health, and career exploration.  


We are looking for a detail-oriented, compliance-driven Senior Payroll and Benefits Specialist to own end-to-end payroll processing and benefits administration across multiple entities. This role sits at the intersection of HR and Finance, serving as the primary bridge between the two teams on all compensation-related matters, while also providing reliable generalist HR support under the direction of the HR Director.

Responsibilities  

Payroll Administration

  • Manage the end-to-end processing of employee compensation, ensuring workers are paid accurately and on schedule.
  • Process multi-entity payroll on schedule, ensuring accuracy, regulatory compliance, and timely submission across all applicable jurisdictions.
  • Maintain payroll records, audit pay data, resolve discrepancies (including SUTA setup and account management), and reconcile payroll reports against Finance records.
  • Manage payroll implications of employee status changes — new hires, terminations, leaves of absence, reclassifications, and compensation adjustments.
  • Support payroll setup and administration for newly established entities, including a non-profit arm, ensuring proper classification of employees and compliance with applicable tax-exempt entity requirements.
  • Manage international workers and contractors by navigating country-specific currencies, statutory benefits, and local tax laws, as needed.
  • Prepare and file periodic and year-end tax forms, including W-2s.
  • Reconcile payroll data with the general ledger and bank statements.
  • Generate internal reports for Finance and Human Resources.
  • Assist internal or external auditors by providing documentation.
  • Answer employee inquiries regarding paychecks, tax withholding, or deductions.

Benefits Administration

  • Administer group health, dental, vision, life, and ancillary benefit plans, including open enrollment, qualifying life events, and COBRA processing.
  • Serve as the primary point of contact for employee benefits inquiries, vendor escalations, and carrier issue resolution.
  • Reconcile monthly benefits invoices against enrollment data and coordinate corrections with Finance.
  • Support the annual benefits renewal process, including data preparation, employee communications, and enrollment system updates.

HR Generalist Support

  • Maintain personnel records, HRIS data integrity, and employee files in compliance with applicable recordkeeping requirements.
  • Assist with onboarding and offboarding administration, including documentation, systems access coordination, and I-9 compliance.
  • Support HR reporting needs, including headcount, turnover, benefits utilization, and ad hoc data requests from leadership.
  • Partner with your direct supervisor on HR projects, compliance initiatives, and company planning as directed.
  • Complete and submit HR paperwork accurately and timely.
  • Perform other duties and assigned tasks.


Qualifications 

  • SHRM-CP and CPP certification required at a minimum; PHR or FPC certification is a strong plus.
  • Bachelor's degree in Human Resources, Accounting, or equivalent mix of education and experience.
  • At least 5 years of hands-on payroll processing experience using a recognized payroll platform or equivalent, with demonstrated accuracy in multi-state payroll.
  • At least 3 years of benefits administration experience, including carrier management, open enrollment coordination, and invoice reconciliation.
  • Working knowledge of federal and state wage and hour laws, benefits regulations (ERISA, ACA, COBRA, HIPAA), and payroll tax requirements.
  • Demonstrated ability to manage payroll and benefits across multiple legal entities or business units simultaneously.
  • Familiarity with non-profit or tax-exempt entity HR and payroll considerations (e.g., 501(c)(3) employee classification, Form 990 employee disclosure requirements).
  • Proficiency in HRIS and payroll platforms (e.g., ADP, Paylocity, Gusto, or equivalent); experience in multi-system environments preferred.
  • Comfort working in a remote environment with Finance, Operations, and HR stakeholders across separate business units.
  • Ability and means to travel up to 10% of the time as needed.
