Job Purpose:

Under the direction of the CFO, the Accountant plays a key role in supporting the financial operations of the organization. This position is responsible for managing the full cycle of accounts payable and accounts receivable, supporting outsourced payroll and employee benefits administration, and ensuring accurate financial tracking of retail activities. The Accountant also provides critical reconciliation and reporting support for the Girl Scouts cookie program. This role facilitates monthly close processes, ensures timely and accurate payment of invoices and reimbursements, and collaborates across departments to maintain compliance and financial integrity.

Job Responsibilities:

1.      Accounts Payable Management: Process and verify invoices, prepare disbursements, obtain payment authorizations, and ensure accurate classification and recording of accounts payable transactions.

2.      Accounts Receivable Oversight: Record and reconcile incoming payments including donations, program fees, retail sales, and other revenue streams; collaborate with departments to ensure proper coding and documentation.

3.      Banking Activities: Manage banking operations including check deposits, ACH uploads, updating signers, and maintaining bank account records and guidelines.

4.      Payroll and Benefits Support: Coordinate with outsourced payroll and benefits providers to ensure accurate and timely processing; assist with employee reimbursements and benefit-related accounting.

5.      Retail Operations Support: Track and reconcile financial transactions related to retail activities, including inventory purchases, sales, and point-of-sale system integration.

6.      Girl Scouts Cookie Program Reconciliation: Provide financial tracking and reconciliation support for the annual cookie program, including troop payments, council revenue, and related expenses.

7.      Tax Compliance: Ensure timely and accurate filing of monthly General Excise Tax (GET) and annual sales tax returns.

8.      Credit Card Reconciliation: Verify and reconcile credit card transactions and statements to ensure accuracy and compliance with organizational policies.

9.      Ledger Maintenance: Post and maintain accounting transactions using Abila MIP Fund Accounting software.

10.  Discrepancy Resolution: Investigate and resolve account discrepancies, including issuing stop payments and adjustments as needed.

11.  Audit and Reporting Support: Maintain organized digital financial records for audit and tax purposes; assist with annual audit preparation and IRS Form 990 documentation.

12.  Other Duties as Assigned: Perform additional financial and administrative tasks as directed by the CFO to support the Finance Department’s operations.

Job Qualifications:

Education: Bachelor’s degree in Accounting, Finance, Business, or related field preferred. 5–8 years of AR/AP accounting can be substituted.

Experience:
- Two or more years of accounting experience with nonprofit accounting or a similar work environment preferred.
- Strong organization and written communication skills.
- Proven ability to work independently and manage multiple projects and deadlines.
- Advanced computer skills including Microsoft Office. Must be proficient in Excel and formulas. Abila MIP Fund Accounting and Salesforce experience a plus.

Licenses/Certifications: Current Driver’s License

Discretion & Independent Judgment:

This position does not have authority to formulate, affect, interpret, or implement management policies or operating practices, nor commit the employer in matters with significant financial impact. However, the Accountant may make independent decisions in specific situations guided by established policies related to daily financial transactions.

Physical Requirements:

- Ability to speak and hear. Close and distance vision.
- Frequent sitting with walking and standing.
- Frequently lifts/carries up to 10 lbs.
- Continual use of manual dexterity and gross motor skills with frequent use of bi-manual dexterity and fine motor skills.
- May be required to identify and distinguish colors, lift/carry 6–25 lbs., and reach hands and arms in any direction.

Working Conditions:

- In-person Office Environment.
- Continually works in normal office conditions and in close proximity to others.
- Must have access to automobile for occasional travel with a valid current driver’s license.
