Havenly, Inc.

Facilities Manager

Position Overview

We're growing fast - 20 locations and counting, including 18 retail stores and 2 corporate offices - and we need a Facilities Manager to be the single point of contact keeping every one of them safe, functional, and running smoothly. You'll own vendor and landlord relationships day to day, and lead the big swings: office and retail relocations, buildouts, and renovations, from first blueprint through move-in. This role exists because we need more than ad hoc fixes - we need someone who can build scalable processes while still nailing the details at any single location.

What You'll Own

  • Day-to-day facilities operations across all 20 locations - triaging requests and tickets from store and office teams, tracking preventative maintenance, and keeping every location up to our standards for safety, functionality, and appearance.
  • Process and program creation - you’ll implement processes, ways of working, structures, and systems to support your work with the goal of automating as much of the manual components as possible.
  • Vendor and landlord relationships - sourcing, negotiating, and managing contracts across HVAC, electrical, plumbing, elevators, painting, general contracting, cleaning, and emergency repair, and holding every vendor to clear service-level expectations.
  • Facilities budgets - building and tracking spend across locations, reviewing and reconciling invoices and project expenses, and finding ways to cut costs without cutting quality.
  • The systems - work order tracking, vendor performance, preventative maintenance schedules - that let this function scale as we keep adding locations.

What You'll Drive

  • End-to-end planning and execution of office and retail relocations, buildouts, and renovations, including space planning, construction oversight, and move logistics.
  • Capital projects and store refreshes from concept to completion, coordinating architects, general contractors, engineers, and landlords, and managing permitting and inspections along the way.
  • Multiple concurrent projects across a geographically dispersed store fleet, with clear timelines, risk tracking, and stakeholder updates.
  • Cross-functional alignment with Retail Operations, Finance, Real Estate, and Store Leadership on facilities priorities, project budgets, and execution - including sensitive or unannounced projects that call for discretion.

We Are Looking for People Who:

  • Have 4+ years of hands-on facilities management experience supporting a multi-location business, including managing vendors, contractors, and landlord relationships across sites.
  • Bring strong project management skills - able to read blueprints and architectural drawings, and to lead complex construction, relocation, or buildout projects independently from planning through completion.
  • Manage budgets, invoices, and project expenses with sharp organization and attention to detail.
  • Approach ambiguous problems by figuring out what's broken and acting on it, not waiting to be told what's next.
  • Move fast, take real ownership of outcomes, and hold themselves to a high bar.
  • Collaborate well across teams, with a low-ego, no-drama approach to getting things done - and are ready to work onsite in Denver while traveling to support projects and moves as needed.

Bonus points if you also have experience with facilities ticketing or work-order systems, preventative maintenance programs and capital project management, or a PMP, CFM, or similar certification.
