Retail Coordinator — Operations

About the Role

As a Retail Coordinator (Yard Operations) at our Burnaby site, you’ll move fluidly between the front counter and the yard — serving customers, coordinating deliveries, operating equipment, and keeping product moving safely and accurately. This is a full-time, hands-on role for someone who is equally comfortable picking up the phone to help a customer and jumping into a loader to stage a truck.

You’ll be part of the Retail Operations Team and work within the broader Bulk Value Stream — a cross-functional group that includes the Burnaby Retail Manager, Small Asset dispatch, the Yard & Warehouse Team, admin, and sales. You’ll report to the Burnaby Retail Manager, who provides site direction, performance feedback, and safety oversight.

Success in this role means trucks are loaded accurately, deliveries run on time, customers are always in the loop, and yard operations are carried out safely every single day.

What You'll Do

Customer Relationships & Frontline Service

       Answer inbound calls, return voicemails, and respond to customer emails and texts with professionalism and care.

       Help customers with product questions, order placement, order changes, and delivery updates.

       Proactively communicate order status and delivery timelines so customers are never left guessing.

       Create a welcoming, professional experience at every touchpoint — phone, email, in person.

Dispatch & Delivery Coordination

       Coordinate Small Asset deliveries to ensure routes are efficient and customer expectations are met.

       Create and post delivery routes in a timely manner; maintain accurate delivery statuses in Road Warrior and WooCommerce.

       Operate dump trucks to complete customer deliveries as required, in compliance with all traffic and safety regulations.

       Communicate delivery changes to customers proactively and promptly.

Yard Operations & Equipment

       Operate loaders, skid steers, and other yard equipment to load trucks and stage products safely and efficiently.

       Verify order accuracy during loading — correct product, quantity, and customer details — before trucks depart.

       Follow all safety protocols, wear appropriate PPE, and operate in full compliance with WorkSafeBC requirements.

       Coordinate product staging and truck loading priorities with the dispatch and yard teams.

       Communicate load readiness and flag any discrepancies to the operations team promptly.

Order & Data Accuracy

       Process orders accurately with the correct product, quantity, site, and delivery information.

       Keep CRM and WooCommerce data current and usable across all teams.

       Identify and flag order issues or discrepancies early for prompt resolution.

Qualifications

We’re looking for someone who can hold their own at the front counter and in the yard — organized, safety-conscious, and genuinely motivated to keep things running smoothly for customers and teammates alike. The ideal candidate brings:

       A valid BC Class 5 driver’s licence with air brake endorsement (Z) — required. A Class 3 licence or higher is a strong asset.

       Demonstrated experience operating a dump truck for deliveries, with a clean driving record.

       Loader and/or skid steer operation experience; forklift certification is an asset.

       Experience in a customer-facing role — retail, dispatch, yard operations, or similar — where you were responsible for communication and follow-through.

       A strong safety mindset with working knowledge of WorkSafeBC requirements and the habit of wearing PPE without being reminded.

       Strong written and verbal communication skills; you manage customer expectations clearly and follow up without being asked.

       Comfort in fast-paced, high-volume environments where you’re balancing front counter duties and yard responsibilities at the same time.

       Proficiency with digital tools; familiarity with WooCommerce, a CRM, or dispatch/routing software is an asset.

       A team-oriented attitude — you communicate load status, flag issues early, and work well with dispatch, yard, and customer service teammates.

Experience in agriculture, horticulture, landscaping, or a related industry is a plus — but the right attitude and a commitment to doing the job well matter most.
