ABOUT THE ROLE

The HR and Payroll Coordinator supports the day-to-day operations of Momentum’s Human Resources and payroll functions for 650+ employees across 11 locations in Utah, Texas, and Washington. Reporting directly to the HR Director, this role is responsible for supporting HRIS administration, payroll processing, benefits administration, onboarding compliance, employee records management, and employee support.


The ideal candidate is highly detail-oriented, organized, proactive, and comfortable working independently in a fast-paced multi-state environment. This role requires strong administrative, analytical, and problem-solving skills, along with the ability to manage sensitive and confidential information with professionalism and discretion.


ROLES AND RESPONSIBILITIES 

Employee Support and HR Operations

  • Serve as a primary point of contact for employee and manager HR-related questions and requests.
  • Support employees and managers with navigating Rippling.
  • Respond to routine HR inquiries and escalate more complex concerns to the HR Director when appropriate.
  • Maintain familiarity with company policies and procedures in order to recognize requests or situations that fall outside established guidelines.
  • Maintain confidentiality while handling sensitive employee and payroll information.

HRIS Administration and Employee Records

  • Maintain accurate employee records and data within Rippling.
  • Review and approve employee demographic changes, ensuring compliance with payroll tax and documentation requirements.
  • Verify employee home addresses and work locations to ensure proper state and local tax withholding setup.
  • Monitor onboarding compliance, including completion of I-9 forms and E-Verify cases.
  • Review background check results and follow up on items requiring additional review or resolution.
  • Track employee training assignments and ensure required trainings are completed on schedule.
  • Audit HRIS records regularly to ensure accuracy across payroll, benefits, training, and employee data systems.
  • Review and approve employee reimbursements for payroll processing.

Payroll and Benefits Administration

  • Assist in processing semi-monthly payroll for employees across multiple states using Rippling.
  • Coordinate with managers to ensure timecards are reviewed and approved by payroll deadlines.
  • Enter and review payroll adjustments including bonuses, commissions, tips, reimbursements, and additional pay items.
  • Review payroll deductions and resolve discrepancies prior to payroll processing.
  • Assist employees with payroll and benefits-related questions.
  • Reconcile employee insurance deductions against carrier invoices to ensure billing accuracy.
  • Support payroll accuracy through reconciliations, audits, and proactive problem-solving.

Compliance and Employee Administration

  • Submit and track workers’ compensation claims, ensuring timely communication and documentation between employees, managers, and insurance representatives.
  • Assist with leave administration tracking and documentation.
  • Assist with employment verifications and unemployment claim documentation.

Administrative Support

  • Handle incoming HR emails, requests, and documentation.
  • Support HR projects, reporting, audits, and administrative initiatives as assigned.
  • Assist with event planning, employee communications, and occasional travel coordination as needed. 
  • Perform other duties as assigned.


REQUIREMENTS AND PHYSICAL DEMANDS

Experience, Skills, and Certifications

  • 2+ years of experience in HR administration, payroll, accounting, office administration, or a related field preferred.
  • Experience working with HRIS and payroll systems required; Rippling experience strongly preferred.
  • Strong understanding of payroll processes, employee records management, and benefits administration.
  • Advanced proficiency with Microsoft Excel and Google Workspace.
  • Experience performing reconciliations, audits, and detailed administrative reviews.
  • Strong aptitude for auditing, reconciling, and maintaining accurate records across multiple systems.
  • Exceptional attention to detail and organizational skills.
  • Strong analytical, critical thinking, and problem-solving abilities.
  • Ability to identify inconsistencies, investigate issues, and proactively recommend solutions.
  • Excellent written and verbal communication skills.
  • Ability to manage sensitive and confidential information with professionalism and discretion.
  • Experience supporting workers’ compensation, leave administration, or multi-state payroll processes preferred.
  • HR or payroll certification preferred.

Hours and Availability

  • Part-time position, approximately 25 hours per week. There is potential for this role to be full-time.
  • Primarily an in-office role based in Holladay, Utah, with the majority of hours worked onsite.
  • Typical schedule will include in-office on Mondays, Tuesdays and Thursdays between approximately 9:00 am and 3:00 pm.
  • Additional remote administrative work may be completed on Wednesdays and Fridays, with responsiveness to emails and time-sensitive tasks required throughout the workday.

Environmental and Physical Demands

  • Extended periods of sitting or standing may be required in an office or meeting setting.
  • Prolonged use of a computer and other office equipment, requiring hand-eye coordination and manual dexterity.
  • Having the ability to communicate effectively both verbally and in writing is essential for collaboration and interaction with employees and managers.
  • May require occasional lifting or carrying of light objects.
