Position Title: Onboarding Coordinator

Position Location: Remote


JOB SUMMARY

The Onboarding Coordinator serves as the partner to the Onboarding & Training Specialist for new hires at Smart Tech, supporting a consistent, welcoming, and well-organized onboarding experience from day one through role integration. This role is responsible for executing onboarding activities, maintaining onboarding content, and coordinating closely with internal teams to ensure new employees are set up for success.


The Onboarding Coordinator is part of the Business Management Office (BMO) and works in close partnership with the Onboarding & Training Specialist and Organizational Excellence Manager to deliver structured, role-appropriate onboarding experiences that reflect Smart Tech’s standards, culture, and expectations.


ESSENTIAL FUNCTIONS


New Hire Onboarding & Experience (55%)

  • Serve as the primary point of contact for all new hires from offer acceptance through role integration, providing responsive, personalized support throughout the onboarding journey.
  • Schedule, coordinate, and facilitate new hire orientation sessions, ensuring a structured and consistent Day 1 experience.
  • Deliver onboarding content across BMO standards, company culture, tools, and processes in alignment with defined programs and frameworks.
  • Coordinate with HR, IT, and functional leaders to ensure new hire equipment, access, and pre-start logistics are completed on time.
  • Manage onboarding checklists, timelines, and follow-through tasks for each new hire cohort, escalating issues as needed.
  • Reinforce Smart Tech’s culture, values, and expectations through every touchpoint of the new hire experience.


Onboarding Content Maintenance & Support (25%)

  • Assist the Onboarding & Training Specialist in updating and maintaining onboarding materials, guides, and resource libraries to reflect current standards and processes.
  • Identify and flag outdated or inconsistent content, recommending updates based on new hire feedback and observed gaps.
  • Support the creation of role-specific onboarding materials under direction from the Onboarding & Training Specialist or Organizational Excellence Manager.
  • Ensure all onboarding content is organized, accessible, and aligned with BMO branding and formatting standards.


Onboarding Tracking & Coordination (15%)

  • Track and document onboarding milestone completion, participation records, and new hire progress using established tracking tools and templates.
  • Maintain accurate records for each new hire cohort and provide status updates to the Onboarding & Training Specialist and Organizational Excellence Manager.
  • Collect and compile new hire feedback to support continuous improvement of the onboarding program.
  • Coordinate with internal stakeholders to confirm readiness for each new hire start, including system access, equipment, and team introductions.


BMO Administrative & Team Support (5%)

  • Provide general administrative support to the BMO team as needed, including scheduling, document management, and communications coordination.
  • Support organizational excellence initiatives and team events such as the STC Social Club and EmpowHER Women’s Resource Group as directed.


POSITION REQUIREMENTS

  • Strong communication and interpersonal skills with the ability to build rapport with new hires across roles and backgrounds.
  • Highly organized with strong attention to detail and the ability to manage multiple onboarding tasks and timelines simultaneously.
  • Collaborative team player with the ability to coordinate across HR, IT, and functional departments.
  • Ability to deliver content clearly and confidently to new hire audiences in virtual and in-person settings.
  • Proactive and solutions-oriented with the ability to troubleshoot onboarding logistics and escalate appropriately.
  • Comfortable working in a fast-paced, scaling environment where processes and programs are actively being developed.

TRAVEL / RELOCATION REQUIREMENTS

  • Up to 10%, this may include travel to any or all 50 US states.
  • Must be located near a major US airport.
  • Effective May 7, 2025, and in accordance with U.S. federal regulations for domestic air travel, a valid REAL ID (or an acceptable alternative, such as a passport) is required for travel associated with this position.
  • Travel may involve transportation by car or plane depending on the destination and nature of the business need.
  • Travel is defined as physically leaving home on behalf of business activities including but not limited to client sites, meetings with other employees, meetings for business development purposes, running errands on behalf of the business, attending industry conferences, etc.


EDUCATION / EXPERIENCE REQUIREMENTS

Required:

  • Associate’s degree or equivalent in Business, Communications, Education, Human Resources, or a related field (or equivalent experience).
  • 1–2 years of experience in onboarding, HR coordination, training support, or a related administrative or operational role.
  • Experience delivering or supporting onboarding, orientation, or training programs in a professional setting.
  • Proficiency with Microsoft 365 tools (Teams, SharePoint, Outlook, Word, Excel) and comfort working in digital environments.

Preferred:

  • Experience in a technical, construction, engineering, or technology services organization.
  • Familiarity with learning management systems (LMS) or onboarding platforms.
  • Experience with content creation or document formatting for training or HR programs.
  • Exposure to PMO or BMO environments and project-based organizational structures.
