About the role

Tapi coordinates maintenance on behalf of property managers — quoting, trade sourcing, job management, and invoicing — end to end.

This is the operations role at the heart of that service. If you love a ticked-off list, thrive on keeping things organised, get genuine satisfaction from making sure nothing falls through the cracks and providing a first-class customer experience — this role was built for you.

You'll be the person property managers, tenants, and trades all rely on to keep jobs moving. That means being on the phone, on the tools, and on top of every detail — all at once.

What you'll do

  • Job coordination
    Manage job coordination — keeping trades, property managers, and tenants informed and aligned at every stage. You'll love the rhythm of moving jobs through a clear process and making sure each one lands cleanly.
  • Trade management
    Work with trades. Build relationships, manage onboarding, handle compliance checks, and stay on top of day-to-day communication.
  • Quoting and invoicing
    Prepare quotes and invoices using our tooling and templates. Accuracy and a quick turnaround are the standard.
  • Payments
    Process payments and reconcile accounts on a regular cycle. Track what's outstanding and follow up until it's resolved.
  • Admin and compliance
    Keep trade documentation — insurance, licences, agreements — current and accounted for. The detail is important; you'll make sure it's right.

  • A natural on the phone — warm, confident, and easy to deal with
  • Friendly and personable — people enjoy working with you, and that shows
  • Someone who loves completing things — a done list at the end of the day feels good
  • Process-oriented — you follow a clear process carefully and speak up when something's off
  • Quick to pick up new tools
  • No specific industry background required. Administration, customer service, or coordination experience is a great foundation.
