Position Summary

The Purchasing Assistant supports the Purchasing department in buying materials, components, and services for manufacturing operations. You'll process purchase orders, follow up with vendors, track deliveries, and keep records accurate so production has what it needs when it needs it. This role suits someone organized and detail-oriented who wants to grow a career in procurement or supply chain.

Key Responsibilities

  • Prepare, issue, and maintain purchase orders in the ERP system based on approved requisitions and material requirements
  • Request and compare quotes from suppliers for pricing, lead time, and terms
  • Follow up with vendors on order confirmations, delivery dates, and backorders, and escalate delays that could affect production
  • Coordinate with Receiving, Quality, and Production to resolve discrepancies in quantity, documentation, or specifications
  • Match POs, receiving documents, and invoices, and work with Accounting to resolve billing issues
  • Track open orders and prepare status reports for the Purchasing Manager
  • Help source alternative suppliers for raw materials, machined components, and MRO items
  • Support inventory accuracy by monitoring stock levels and flagging reorder needs
  • Monitors inventory levels and assists with identifying when materials need to be reordered
  • Tracks material availability and communicates potential shortages or delays to the appropriate teams
  • Develops and maintains positive working relationships with suppliers and vendors.
  • Requests and compares vendor quotes and assists with identifying cost-effective purchasing options
  • Assists with researching new materials, products, and suppliers when project or production material needs arise
  • Optimizes usage based on incoming orders with an emphasis in reducing obsolescence.
  • Perform other duties as assigned

Qualifications

Required:

  • 2–4 years of experience in purchasing, procurement, supply chain, or a related role
  • Proficiency in Microsoft Office, especially Excel (sorting, filtering, basic formulas)
  • Strong organizational skills and attention to detail
  • Clear written and verbal communication with vendors and internal teams
  • Ability to manage multiple priorities and meet deadlines
  • Ability to read basic engineering drawings or material specifications

Preferred:

  • Associate's or bachelor's degree in business, supply chain, or a related field
  • Experience in a manufacturing environment
  • Familiarity with ERP/MRP systems
