Job Overview 

Democracy Docket is seeking an Office Operations Manager responsible for ensuring the smooth, efficient, and welcoming day-to-day operation of our office. This role oversees facilities, supports basic IT and accounting needs, and partners closely with the People & Culture team to create a positive employee experience. This role reports into the Managing Director.


Key Responsibilities

Office & Facilities Management

  • Oversee office facilities, including vendor management, maintenance requests, and coordination with building management
  • Maintain office cleanliness, organization, and overall functionality
  • Manage office supply inventory and ordering (including kitchen supplies, snacks, and lunch)
  • Lead office planning and space management, including reconfigurations, furniture updates, and vendor coordination
  • Receive and distribute incoming mail and deliveries; manage outgoing mail

IT & Equipment Support

  • Manage basic company IT needs, including troubleshooting and software access
  • Liaise with external IT vendors and contractors
  • Order and maintain office equipment and technology

Administrative & Financial Support

  • Assist with basic accounting functions, including processing checks, issuing and paying invoices
  • Provide travel booking support for staff as needed

People & Culture Partnership

  • Partner with the People & Culture team to foster a welcoming, well-organized office environment
  • Participate in onboarding new hires
  • Support internal events and company initiatives

Operations Projects

  • Take on occasional special projects, such as internal events, office moves, and other operational initiatives as needed


Skills & Qualifications

  • 5+ years of experience managing office operations in a fast-paced, growing company. 
  • Strong knowledge of office systems, vendors, and tools that keep operations and basic IT running smoothly, with the confidence to troubleshoot issues and manage external partners
  • Proven ability to create a welcoming, well-run office environment that reflects company culture while managing budgets responsibly
  • Highly organized, proactive, and detail-oriented, with the ability to juggle multiple priorities and respond quickly to needs as they arise


Physical Requirements

This role includes some physical and on-site responsibilities necessary for day-to-day office operations.

The employee must be able to:

  • Lift, carry, and move items weighing up to 50 pounds (with or without reasonable accommodation)
  • Stand, walk, bend, and reach for extended periods while setting up the office, events, or workspaces
  • Use standard office equipment and technology
  • Occasionally move furniture, equipment, and supplies
  • Navigate stairs, elevators, and shared building spaces as needed
  • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of this role, in accordance with applicable law.


Work Environment
This is a full-time role based out of our Jersey City, New Jersey office. We operate on a hybrid schedule: Mondays and Fridays are remote; Tuesdays, Wednesdays, and Thursdays are in-office.


Because this position supports daily office operations, additional in-office days may be required as needed to manage deliveries, facilities needs, onboarding, events, or other operational priorities. Some flexibility in schedule may be necessary based on business needs.

Salary Range: $77,000-$82,000
